Essential Responsibilities
Showroom Coordination & Hospitality
- Maintain the showroom and internal event calendar, ensuring teams schedule and utilize spaces effectively to meet established goals.
- Maintain the showroom as an experience, not just a space, curating the environment with thoughtful details—from ambiance to personalized touches—that surprise and delight visitors.
- Conduct post-visit surveys to gather feedback on guest experiences and identify areas for improvement.
- Oversee the cleanliness and upkeep of shared spaces, including meeting rooms and kitchens, ensuring coffee, snacks, and supplies are well-stocked.
- Coordinate demo products, obtain samples for clients, and ensure showroom resources are aligned with customer needs.
Event Coordination
- Plan and execute showroom and internal events, from intimate client gatherings to large-scale activations, ensuring every detail—from catering to atmosphere—contributes to an unforgettable experience.
- Manage event logistics, including invites, RSVPs, hospitality arrangements, technical needs, and setup/teardown.
- Collaborate with internal teams, partners, and vendors to bring events to life, ensuring all branding and storytelling elements align with company goals, all leading to successful events
- Build relationships with partners using the showroom space, helping them achieve their goals while fostering a stronger connection to the company.
Marketing & Graphics Support
- Assist in content creation for events, social media, email campaigns, and showroom branding, ensuring consistency across all touchpoints.
- Develop event invitations, promotional graphics, and digital assets in alignment with brand guidelines.
- Maintain showroom visual storytelling, curating digital displays, mood boards, and branded presentations to support client interactions.
- Support the development of print and digital materials that enhance the customer experience, from leave-behinds to lookbooks.
ESG (Environmental, Social, & Governance) Program Management
- Work cross-functionally with internal teams to integrate sustainability practices into showroom operations and events - including repurposing showroom samples, recycling event materials, and implementing eco-friendly hospitality practices.
- Assist in developing case studies and storytelling for client-facing materials that showcase Workplace Resource’s leadership in ESG efforts.
- Curate events or activations that showcase sustainable and socially responsible practices, collaborating with employees, vendors and partners who share Workplace Resource’s ESG values.
- Assist in data collection required to track WR’s Net 0 commitments
Qualifications & Skills
- Exceptional interpersonal and communication skills, with the confidence to engage with a variety of clients, guests, and team members.
- A creative eye for branding, aesthetics, and storytelling, with experience in marketing, event planning, or showroom coordination.
- Strong organizational and multitasking skills, capable of managing multiple moving pieces while maintaining attention to detail.
- Proficiency with the Microsoft Office Suite.
- Experience with graphic design tools (Adobe Creative Suite, Canva, or similar) to support event and showroom marketing needs.
- A proactive and problem-solving mindset, with the ability to work independently and collaboratively.
- Knowledge of or interest in the contract furniture, design, or architecture industry is a plus.
Work Environment and Physical/Mental Demands
The position requires working typically in a professional office environment. This role routinely uses standard office equipment such as office phone/smartphone, computer/laptop/computer keyboard/mouse, photocopiers, filing cabinets and printers. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. Ability to visit and move around at construction and other customer/work sites, wearing appropriate safety protective gear. Ability to lift, carry, and otherwise transport work-related materials that frequently weigh up to 10 lbs. and that may occasionally weigh in excess of 25 lbs. Ability to work with numbers, research complex issues and resolve problems. Requires more advanced mathematical skills in order to understand spatial requirements and in doing bids. Must be able to read and comprehend complex written material, as well as ability to analyze, compare, evaluate, reconcile, and order data.
