Job Scope & Summary

 

The Intermarket Project Coordinator will perform the quoting, ordering, processing, and invoicing of office furniture products or related items ensuring customer satisfaction both internally and externally.

 

Essential Responsibilities

 

  • Providing support for intermarket accounts via ServiceNet application and through other correspondence.
  • Communicating information to work team, servicing dealer, and originating dealer relating to intermarket account.
  • Process all WIP storage by creating quotes, orders and invoice preparations communicating with various departments.
  • Processing quotes by setting up customer information and importing SIF file. 
  • Processing sales orders by verifying sell price and entering data into various software applications, ensuring accuracy and detail.
  • Provide support to the ServiceNet Project Manager – Estimating, communication, product tracking, scheduling & submitting daily reports as needed to customers.
  • Track and verify that ServiceNet daily communication requests & timeline milestones are updated and accurate.
  • Verify accuracy of product receival with warehouse team and communicate issues or concerns with our dealer partners in a timely manner.
  • Keeping internal and external customers informed of order status by preparing reports and communicating results on a regular basis through phone and email.
  • Ensuring signoff from the customer that the job was completed
  • Preparing the completed sales order for invoicing
  • Continuously update invoice forecasts electronically, by comparing lead time, acknowledgements, and installation schedules in a timely manner.
  • Handling internal and external customer questions or issues by researching and taking appropriate action in a timely manner.
  • Provide support by scheduling all service work, including demo chair deliveries.
  • Assist internal furniture sales and other WR service lines as needed
  • Contributing to a team effort by accomplishing related results or projects as needed, including phone backup for receptionist.

 

The Qualifications and/or Experience

 

  • The preferred candidate will possess a High School Diploma or equivalent, or minimum of six months related experience or equivalent combination of education and experience.
  • Working in a similar position within the office furniture industry or related field.
  • Achieving and maintaining technical and professional proficiency related to current job position and areas of expertise, specifically order processing, clerical, and data entry, working knowledge with Microsoft Office Suite and various accounting and design software.
  • Demonstrating detail orientation and the ability to coordinate multiple responsibilities, understanding the importance of doing quality work, adhering to the standards to prevent errors, and working effectively with high volume workload.
  • Achieving results by driving issues to closure and getting the job done on time.

Work Environment and Physical/Mental Demands

 

The position requires working typically in a professional office environment. This role routinely involves standard office equipment such as office phone/smartphone, computer/laptop/computer keyboard/mouse, photocopiers, filing cabinets and printers. This position requires the ability to sit for prolonged periods of time, as a driver or passenger in an automobile. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The ability to visit and move around at construction and other customer/work sites, wearing appropriate safety protective gear. Ability to lift, carry, and otherwise transport work-related materials that frequently weigh up to 10 lbs. and that may occasionally weigh more than 25 lbs. Ability to work with numbers, research complex issues and resolve problems. Requires more advanced mathematical skills to understand spatial requirements and in doing bids. Must be able to read and comprehend complex written material, as well as ability to analyze, compare, evaluate, reconcile and order data.
