The Executive Assistant supports and works alongside the Chief Executive Officer (with additional support to executive team members as directed) in ensuring the company goals and objectives are accomplished and that operations run smoothly and efficiently.

Essential Job Functions:

  • Welcoming guests and clients and directing them to appropriate person.
  • Managing phone call communication internally and externally, as well as mail and faxes.
  • Maintain reception area and office supplies.
  • Prepare conference rooms for meetings and organize events as requested.
  • Provide administrative support as needed amongst leadership and staff.
  • Serve as a primary point of contact between Chief Executive Officer and internal staff, maintaining a high level of professionalism and confidentiality.
  • Maintain and refine internal processes that support the Chief Executive Officer and others amongst leadership, while also coordinating internal and external resources to expedite workflows.
  • Assist in the process of quoting and purchasing products for the company.
  • Efficiently manage and coordinate executive calendars, scheduling meetings, appointments, and follow up tasks.
  • Organize and prepare materials for meetings, obtaining minutes, and following up on action items to ensure completion.
  • Maintain and implement documentation and reporting necessary for presentations, special projects, agendas, etc.
  • Assist in the smooth running of the office by coordinating administrative tasks, managing supplies, and keeping the office clean and presentable to clients and guests.
  • Plan, organize, direct, and run optimum daily operations to exceed customer expectations.
  • Allocate resources effectively to maximally leverage and produce optimal results.
  • Assume other special activities and responsibilities as directed by Chief Executive Officer.
  • All other duties as assigned, including various clerical tasks.

Qualifications:

  • Strong time-management skills and ability to organize and coordinate multiple concurrent projects.
  • Strengths in communications, interpersonal skills, confidentiality, careful attention to detail and organization, self-starting, and dependable.
  • Ability to work independently with minimal supervision and a strong internal motivation to achieve established goals.
  • Proficiency with Microsoft Word, Excel, and Outlook software required.
  • MRP/ERP experience is desired.

Working Environment:

While performing the duties of this job, the employee will be exposed to a dry, well-lit work environment. No extreme temperatures (<32F or >110F). No vibratory exposure per day. No extremes in audiometric exposure (>80 Decibels). No known air quality issues in facility.
