Overview
The Lease Administrator at Worldpac plays a key role in managing and maintaining the company’s real estate portfolio. This role involves ensuring compliance with lease agreements, coordinating lease-related activities, and supporting financial and legal requirements. The Lease Administrator will work closely with internal teams, landlords, and external partners to ensure accurate record-keeping, timely payments, and efficient handling of lease obligations.
Responsibilities
Lease Administration:
- Manage the lifecycle of lease agreements, including new leases, renewals, amendments, and terminations.
- Maintain an accurate database of all lease agreements, critical dates, and associated documentation.
- Monitor lease terms and ensure timely execution of renewals, rent escalations, and other obligations.
Financial Coordination:
- Review and process lease-related payments, including rent, utilities, property taxes, and other obligations.
- Reconcile landlord statements and resolve discrepancies in payments or charges.
- Collaborate with the accounting team to ensure accurate coding and reporting of lease-related expenses.
Landlord and Vendor Relations:
- Serve as the primary point of contact for landlords, property managers, and vendors regarding lease-related inquiries.
- Address and resolve issues related to maintenance, repairs, or lease compliance.
- Ensure timely communication and follow-up on outstanding items.
Compliance and Reporting:
- Ensure compliance with lease agreements, company policies, and applicable regulations.
- Prepare and distribute reports on lease metrics, occupancy costs, and critical dates.
- Assist with internal and external audits related to lease administration.
Documentation and Record Keeping:
- Maintain organized and up-to-date lease files, both physical and digital.
- Track and manage certificates of insurance, security deposits, and other lease-related documents.
- Support the development and maintenance of standardized lease administration processes and procedures.
Collaboration and Support:
- Partner with the legal team to review lease agreements and ensure terms align with company objectives.
- Assist in lease negotiations by providing relevant data and analysis.
- Work closely with real estate, finance, and operations teams to support strategic initiatives and portfolio management.
Qualifications
Qualifications:
- Bachelor’s degree in Business Administration, Real Estate, or a related field preferred.
- 3 years of experience in lease administration or a related real estate role.
- Strong understanding of lease terms, accounting principles, and financial reporting.
- Proficiency in lease management software and Microsoft Office Suite (Excel, Word, PowerPoint).
- Exceptional organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Experience in the automotive or retail industry is a plus.
Pay Range
