We are looking for a highly organized and proactive Executive Assistant and Office Manager based in New York City to support the co-leads of the Wormhole Foundation with executive assistant duties and oversee the day-to-day operations of our NYC office. In this role, you will be instrumental in optimizing executive workflows, ensuring smooth daily operations, and fostering an efficient remote working environment. Reporting directly to co-leads of WF, you will play a key role in enhancing productivity across the organization.

What You Will Do
- Provide high-level administrative support to executives, including scheduling, email management, and travel coordination.
- Optimize workflows by managing calendars, prioritizing meetings, and ensuring effective time management for leadership.
- Organize and oversee office operations
- Assist with document preparation, including presentations, reports, and correspondence.
- Support Head of Business Ops and People on all people experience projects.
- Maintain internal documentation, policies, and resources to ensure operational efficiency.
- Handle confidential information with discretion and professionalism.
- You have 3 years of experience as an Executive Assistant, Office Manager, or in a similar operations role.
- You are based in NYC and willing to work onsite 75% of the time.
- You are highly organized and detail-oriented, with excellent time management skills.
- You have strong written and verbal communication skills and can engage effectively with stakeholders at all levels.
- You are a problem solver who takes initiative and thrives in a fast-paced environment.
- You are tech-savvy and proficient in tools such as Google Workspace, Slack, Notion, and Asana.
- You can manage multiple priorities and work autonomously with minimal supervision.
- You have experience supporting remote teams and are adept at fostering virtual collaboration.
- You are discreet and trustworthy, handling sensitive information with confidentiality.
