Role Overview
The Operations Coordinator will be responsible for managing essential administrative functions, supporting the CEO and team, and ensuring smooth daily operations. This role requires strong organizational skills, computer literacy, and the ability to quickly learn and implement new processes seamlessly.
Key Responsibilities
- Administrative Management:
- Efficiently manage the CEO’s calendar, schedule meetings, and coordinate travel.
- Oversee office supply management, including ordering coffee, silverware, and other essentials.
- Operational Support:
- Create, manage, and post job openings, assist with onboarding and offboarding processes, and send contracts as needed.
- Ensure data integrity across company systems and records.
- Task Accountability:
- Monitor and delegate tasks using communication tools like Microsoft Teams.
- Ensure deadlines are met and workflows are seamless.
- Documentation:
- Prepare and organize documents, presentations, and correspondence using Microsoft Office Suite.
- Maintain accurate and up-to-date records for all administrative processes.
- Client and Candidate Relations:
- Serve as a professional point of contact for clients and candidates.
- Communicate effectively to address inquiries and ensure satisfaction.
- Technology and Process Adaptability:Social Media (Preferred but Not Required):
- Quickly learn and incorporate new tools and processes.
- Assist in maintaining operational efficiency and implementing innovative solutions.
- Demonstrated proficiency with Microsoft Excel, including the creation and utilization of pivot tables to analyze and present data effectively.
- Manage company social media accounts, create content, and engage with audiences.
Qualifications
- Previous experience in office administration, executive assistance, or a similar role.
- Strong computer literacy and ability to learn new software quickly (experience with ATS platforms like Vincere/Salesforce is helpful but not required).
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Exceptional organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Positive attitude, adaptability, and professionalism.
