At its most basic level, the job of project coordinator is to plan and track every stage of maintenance work projects at a large food processing plant.
As the unofficial “player two” for the project manager, project coordinator responsibilities can vary. This includes ensuring that important information is shared with relevant people and team members, so the project runs smoothly and makes it to completion without significant problems.
In general, a project coordinator must be someone who communicates well and is detail-oriented, dependable, and highly productive. If you’re able to get things done (and done well) on time, you already fulfill one of the most crucial responsibilities of this role.
Most responsibilities include the following:
- Communicate with corporate level clients with status reports on current projects and expectations of future projects
- Oversee projects from start to delivery in a production/manufacturing setting with thorough attention to detail and follow through
- Effectively track progress for both internal and client reporting
- Communication with vendors and internal labor providers
- Planning, Reporting, and Forecasting
- Ensuring team members have the supplies and resources they need to complete their assigned tasks on time and within their budget limits
- Create Building Material Lists
- Enter parts for kits (MicroMain)
- Ability to adapt, and coach, through software systems
- Organize, and keep up to date with proposals/ quote, invoice status, finishing the loop on approved quotes
- Work with corporate project manager on schedule to coordinate vendors/ contractors onsite
- Prioritize WPR team vs. contract work needed, schedule meetings accordingly.
- Organizing reports, invoices, contracts, and other financial files for easy access
- Scheduling and organizing meetings
- Organizing the project schedule and budget
- Organizing logistics
- Keeping detailed records of the project at every stage that may include summary reports to be presented to the manager
- Catching and assessing any issues or risks that may arise and reporting them to the project manager
- Effectively communicating with team members across the organization
- Keeping morale of the team up and helping to build strong working relationships for the good of the project
- Working with team members in the field and on site
