Executive Assistant
THE ROLE
WQED Multimedia seeks an Executive Assistant to provide administrative support to its senior leadership team. We’re looking for candidates who are highly independent, able to manage confidential information with discretion, and quick to learn and adapt to new tools, systems, technologies, and challenges.
This role is expected to commute to and contribute from WQED’s offices in the Oakland neighborhood of Pittsburgh five days per week.
COMPENSATION & BENEFITS
The annual compensation band for this full-time position is $60,000 to $75,000, commensurate with experience. Employer-sponsored benefits include health insurance via Highmark EPO ($500 deductible, with premiums on a wage-based sliding scale). WQED pays 100% of the premiums for: Delta Dental PPO, Vision Benefits of America, disability insurance from Guardian, and basic life insurance. After 12 months, WQED also contributes 5% of employees’ salary to a 403(b) retirement plan managed by TIAA-CREF.
RESPONSIBILITIES (including but not limited to):
- Complete a broad variety of administrative tasks: managing an extremely active calendar; creating, processing, and composing correspondence that is sometimes confidential; and compiling documents and arranging information for internal and external meetings.
- Actively contribute to WQED’s senior leadership team, including assisting in scheduling and setting agendas, attending meetings, taking detailed notes, assigning and tracking specific follow-up action items.
- Prioritize conflicting needs; handling matters proactively and independently seeing projects through to successful completion, often with deadline pressure.
- Conduct research, compiling and summarizing information as assigned.
- Review, prioritize, and follow-up on incoming issues and concerns, especially those of a sensitive or confidential nature. Determine the appropriate course of action, referral or response.
- Support the cultivation of ongoing community relationships.
- Serve as liaison to WQED’s Board of Directors and Community Advisory Board: answering questions, distributing minutes and materials, maintaining calendars.
- Present a positive and professional image for the organization.
SKILLS & QUALIFICATIONS (including but not limited to):
- Proven administrative experience supporting senior executives.
- Excellent communication and organizational skills with keen attention to detail.
- Excellent time management skills, able to effectively multi-task and meet deadlines.
- Strong computer skills with proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Ability to function well in a high-paced, and at times stressful, environment.
- Able to be resourceful and proactive when issues arise.
- Must be able to operate standard office equipment.
- Must be able to work in a stationary position for long durations. This position entails sedentary work with repetitive motion.
- Must have close visual acuity to perform activities such as preparing and analyzing data and viewing a computer screen for extended periods.
- Must be able to lift and small carry parcels, packages, and other items (weighing up to 15 pounds).
- High school diploma required. College degree or equivalent experience preferred.
