The Mail Distribution Supervisor will manage the day-to day activities of the inserter operator and the outsourced courier functions. The incumbent will be responsible for overseeing receiving and sorting incoming mail to distribute to other departments or individuals. In addition, the incumbent is responsible for overseeing the archival function including the placement in the archives area, accountability, and/or destruction or removal from the archives.

Job Responsibilities:

  • Supervise the day-to-day activities of the Mail Distribution Associates and Couriers.
  • Communicate changes in work standards and procedures and ensures adherence to department performance levels.
  • Provide stellar customer service to WSFS internal and external customers.
  • Ensure that inserter, postage meter, company vehicle and related equipment are properly cleaned and maintained.
  • Conduct routine maintenance on mailroom equipment and keep the copiers and printers supplied with paper and toner.
  • Resolve operational problems regarding equipment failure, errors.
  • Evaluate performance and counsel associates for development or disciplinary purposes; train new Associates and/or define training requirements.
  • Substitute for absent personnel as required.
  • Manage courier service for Retail Offices and operational sites; work with service providers to accommodate the addition of new sites or changes business needs.
  • Develop and maintain written documentation relating to the processing and distribution of mail.
  • Assist with the preparation and maintenance of equipment and supply budgets.
  • Process incoming and outgoing mail envelopes and packages from services such as courier services, USPS, United Parcel Service and Federal Express, and any overnight delivery.
  • Examine, sort, and route mail.
  • Coordinate the shipment and retrieval of bank documents from offsite retention.
  • Contact the vendors either by email or through the vendor’s portal to retrieve boxes as requested by internal associates.
  • Perform various distribution-related administrative and technical tasks.
  • Verify UPS, presort postal billings and Fed Ex invoices are accurate to ensure units are correctly billed.
  • Interact with US Postal Service to stay abreast of regulations/changes and to learn methods of reducing postal costs.
  • Coordinate the ordering of supplies, forms, envelopes, film and equipment with vendors for Operations Center.
  • Prepare various production reports for department manager.
  • Ensure the safekeeping and protection of loan and deposit collateral and records for the Bank.
  • Occasionally travel to Bank Place to work directly with the Mail Services team located in Philadelphia.
  • Perform any other tasks and/or duties requested or assigned by the Department Head.


Minimum Qualifications:

  • High School Diploma or equivalent required, some college preferred.
  • A minimum of 3 years of experience working in a distribution control environment including acting as a group leader for associates on the team.
  • Must have overall experience in all phases of Mail Distribution.
  • Experience in a high-volume financial servicing or equivalent financial services environment is preferred.
  • Must be proficient with Windows and Microsoft software products and operating mail rendering equipment and software.
  • Must have proficient knowledge of USPS requirements and guidelines.
  • Must have the ability to multi-task and be detail-oriented.
  • Must have excellent customer service skills to service both the internal and external customers.
  • Must be able to apply the knowledge gained through experience to identify the root-cause of issues and develop a clear path toward a resolution.
  • Must have the ability to work independently or with little direction.
