About the Work
When joining Wyoming Guardianship as a Accounts Receivable Clerk, you will work closely with other WGC employees and teams in conjunction with managing all payments made to WGC for services provided.
Key functions of this position:
- Coordinate with all WGC programs on the internal invoicing process.
- Receives and logs checks.
- Completes deposits (both corporate and program related).
- Generate invoices and account statements for multiple programs:
- Posting payments to invoices
- Monthly posting of external fees (i.e. Legal fees, attorney fees, court reporting fees) in client database for invoicing.
- Monthly internal and external invoice creation and distribution, working with the Directors to resolve any issues prior to mailing for payment
- Draft and send correspondence for delinquent accounts, coordinating with account holders to request payment for services
- Create and review reports on fees, revenue, aging and distribution and client account status for Director review
- Communicate incoming client funds to Financial Management Staff as needed:
- Alert Director(s) of new funds and request/verify bank accounts are ready to receive funds
- Alert Director(s) of unusual funds received and/or verify account for deposit
- Maintain the billing system and all AR files and records.
- Reconciliation of client accounts as indicated and supervised by the CFO.
- Assist with special projects as needed.
- Preparation of documents and/or delivery of documents as needed.
- Follow all WGC Standard Operating Procedures
- Take and answer questions, phone calls and emails from individuals and organizations who have questions about their WGC invoices.
- Verify discrepancies by and resolve clients billing issues
- Other duties as assigned by the CFO/CEO.
Availability and Work Schedule:
This is a full-time position with some flexibility in hours based on the needs of the work day, M-F but still expected to work within "banking hours" of operation. Work can be done as a hybrid: remotely in your home office as well as at the Cheyenne office to create deposits, pick up checks, etc. There are requirements to have viable and dependable transportation to take deposits to the bank and run other errands around Cheyenne.

- You have experience with Accounts Receivable.
- You have at least one year of experience working in accounting or bookkeeping.
- You’re known for clear, complete and professional communication – both written and verbal.

- You’re organized and able to multi-task in a fast-paced environment, proficient in the use of Microsoft Office products.
