Job Description
This position is responsible for providing direct clerical support for Wythe County Public Schools’ facilities and transportation departments. The Secretary of Facilities and Transportation plays a key role in supporting these departments by performing a variety of administrative tasks, ensuring smooth operations, and assisting with day-to-day functions and operations.
REPORTS TO: Assistant Superintendent of Finance & Operations and Director of Transportation & Food Services
Preferred Qualifications:
- A high school diploma or equivalent is required; an associate’s degree or higher in office administration, business management, or a related field is preferred.
- Minimum of 5 years of experience in an administrative support role, preferably in a school district or public sector.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Suites, and office equipment.
- Strong organizational and time-management skills with the ability to handle multiple tasks simultaneously.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information.
- Knowledge of transportation logistics and facilities management is a plus.
- Positive attitude, dependable, and punctual.
Essential Duties and Responsibilities:
The minimum performance expectations include, but are not limited to, the following functions/tasks:
- Serves as liaison to employees, community members, outside agencies, and the public concerning departmental information or complaints.
- Communicates with schools to assist with student bus concerns and other transportation information requests.
- Assist the Finance Department in the accounting systems necessary to ensure the accurate and timely payment of all bills.
- Handle inquiries and resolve issues related to facilities maintenance and transportation services.
- Prepare bus driver contracts and statements in conformance with school board policies.
- Assist in the preparation of reports, budgets, and project timelines for both departments.
- Communicate with staff, students, and parents regarding transportation matters.
- Coordinate and schedule transportation routes, buses, and driver assignments.
- Distributes copies and files financial records.
- Compiles information from various sources for records and reports.
- Acts as receptionist, receiving visitors, parents, teachers, and students as needed.
- Ensures that all records are kept up to date, have all of the necessary documentation and are filed correctly.
- Coordinate with WCPS insurance companies on facilities, transportation, and student accidents.
- Updates and maintains the Transportation Handbook.
- Orders materials, supplies, and equipment.
- Maintains records and other pertinent data for school buses and vehicle fleet.
- Inventory list of all vehicles and purchase price of each.
- Monthly bus mileage, gas/oil usage, etc.
- Maintenance and service charts for buses and fleet vehicles.
- Prepares and distributes notices to drivers concerning the date and time for maintenance and service of their vehicle.
- Prepares year-end report for Pupil Transportation, Virginia Department of Education.
- Mail letters to prospective bus drivers on future bus driving classes. Gathers information on new drivers and notifies schools of eligible drivers once all training is successfully completed.
- Assists with bids, RFP’s, and all related advertising.
- Helps coordinate transportation training and professional development.
- Maintains a high level of confidentiality.
- Performs other duties as assigned by supervisor.
260-DAY CONTRACT SALARY BASED ON THE 2024-2025 CLERICAL SALARY SCALE
