Responsibilities
Sales
- Monitor event phone lines and email inbox, taking messages and forwarding calls to the appropriate team members in a timely, professional manner.
- Enter sale leads into Tripleseat, provide general pricing and information to all initial sales inquiries
- Assist sales team with client walkthroughs, providing information to clients with warmth and a charisma to kick off the Sales process.
- Oversee Wedding Room Blocks, setting up blocks for couples and being point of contact for questions during the booking & reservation process
- Assist with billing, recording, and tracking financials for Event Sales
- Build weekly reports for sales & operational meetings, e.g. BEO packets, F&B Sheets, Staffing Sheets, et al.
- Facilitate Sales team with miscellaneous projects as requested
- Maintain and organize Events office and records, including Invoice Breakdowns where applicable
- Selling and coordinating semi private and PDR booking for Bar Blondeau and Le Crocodile Cellar
Coordinating
- Create and print event menus and signage using InDesign prior to all events.
- Assist Event Managers in preparing Event Detail Sheets.
- Post-event administration
Job requirements
- Motivated, high level of energy, sense of urgency and strong work ethic
- Fluency with Microsoft Office, Google Docs, InDesign and TripleSeat
- Excellent written and verbal communication skills
- Flexible schedule with the ability to adjust as needed for business needs.
- 5 Days in office including 1 weekend day (typically Saturday’s)
- Ability to independently manage multiple tasks and projects and meet deadlines
- Desire to succeed in special event management by consistently providing outstanding customer service
- Ability to communicate effectively with clients and colleagues through verbal and written methods
- Ability to remain calm under pressure, handle stress well and think on your feet
- Technical competence (Tripleseat, Mews, Prism, Google Suite, et al)
- Shows a high level of initiative, motivation, and detail orientation
- Able to present a calm and professional presence at all times.
- Bring a positive attitude and set and example and the correct tone for the team each day
Salary : $65,000 - $75,000
