What are the responsibilities and job description for the Director of Advancement position at Xavier Jesuit Academy?
The Director of Advancement reports to the President of Xavier Jesuit Academy and works closely with the Board of Trustees Chair, The Philanthropy & Mission Advancement Committee Chair, the Director of Finance & Administration, the Principal, and front office staff. The Director of Advancement’s primary role is to provide visionary, strategic, and executional leadership of fundraising, development, and communications operations, their support structures, and professional personnel.
The Director has the unique opportunity to continue the philanthropy and development culture from the beginning years of the school, in accord with the mission and aligned with the President.

Accountabilities/Responsibilities:
1. Donor recruitment and engagement
- Create, maintain and monitor an annual development calendar to ensure year-round engagement and stewardship of donors.
- Recruit donors and maintain relationships in collaboration with the President.
- Research, plan, evaluate donor potential, set, and make direct face-to-face solicitations, and assist the President, Board of Trustees, and other XJA staff with their solicitation (e.g. provide portfolio development support, strategic counsel, and help with donor communications).
- Maintain and supervise use of DonorPerfect Donor Management System database.
- Use donor data for strategic fundraising decision making and opportunities.
- Develop and implement a donor solicitation strategy for major gift prospects.
- Develop planned giving opportunities and support structures.
2. Lead Annual Campaign, Capital Campaigns, and Grants
- Plan and implement capital campaigns in a timely manner
- Execute and evaluate annual appeal with support of marketing contractors, along with its marketing materials.
- Conduct or oversee grant research and draft applications.
3. Events
- Oversee all fundraising event logistical details, serve as or delegate the point of contact for vendors (i.e. catering, venue, printing), supporters and sponsors, volunteers, and attendees.
- Oversee event data and constituent information, including budget information, registration lists, and results.
4. Communications / Marketing
- Acknowledge major donors through public and private recognition as appropriate and in a timely manner.
- Implement marketing strategies to further build and create more awareness of XJA brand across various audiences in collaboration with President and Board of Trustees.
5. Leadership to President, XJA Leadership Team, Trustees and Board Committees in regard to fundraising and advancement initiatives.
- Oversee the processing and allocation of donations in collaboration with the Director of Finance and Finance Committee of the Board of Trustees.
- Support the President in the development of institutional strategic planning.
- Consistently explores new and creative methods and means of fundraising in accord with the mission.
- Collaborate with and lead on behalf of XJA, any formal agreement of fundraising support with other organizations or entities.
- Maintains a level of knowledge and skills through study of contemporary best practices, professional development opportunities, and membership in local, state, or national professional organizations.
- Maintains open and timely communication about development efforts with other Cincinnati Jesuit institutions as appropriate.
- Attends and participates in regular school leadership meetings, Archdiocesan school meetings as prudent, professional development days, spiritual retreats, committees, Board of Trustees meetings, Board committee meetings as assigned, and Jesuit Schools Network cohort gatherings.
- Supports the school’s meeting of standards as set forth in Our Way of Proceeding: Standards and Benchmarks for Jesuit Schools in the 21st Century.
Education & Experience:
- Bachelors in Business Administration, Management, or related fields preferred.
- 5 to 10 years of comprehensive fundraising management and leadership experience, preferably in an education or social services organization, including experience in successfully soliciting and managing major and principal gifts and creating, planning and implementing major campaigns.
Skills & Qualifications:
- Demonstrated knowledge Microsoft Office apps, Google WorkSpace Suite applications and tools; proficient with fundraising/sales software with the ability to learn new systems.
- Excellent verbal and written communication skills with ability to build and manage effective working relationships
- Ability to simultaneously manage multiple projects with strong organizational skills and attention to detail
- Ability to prioritize tasks and work both independently and collaboratively to meet deadlines and accomplish goals
- Ability to adapt to support evolving needs of the organization
- Demonstrated leadership skills with the ability to influence others and achieve desired outcomes.
- Working knowledge and understanding of contemporary issues of poverty alleviation, education equity, and racial justice in an urban context.
- Supports and adheres to the Code of Conduct, policies and procedures of XJA, and the Archdiocese of Cincinnati SafeParishTM safe environment training and policies.
- Represents XJA’s mission, its students and families, its personnel, the Jesuits, the Catholic Church, and the local community of the school in an upstanding and positive manner, consistent with our values, in all interactions in the wider community.
- Some tasks involve the ability to exert light physical effort in sedentary to light work, but may involve some lifting, carrying, pushing or/or pulling of objects and materials of light weight (10-25 pounds).
Hours of work: Generally Monday - Friday; Weekend hours and extended hours during weekdays according to needs.
