Position Summary:
The Fleet Coordinator will complete maintenance customer service, inventory, and administrative processes that support maintenance operational efficiency, effectiveness, customer satisfaction and profitability. The Fleet Coordinator will provide superior customer service and communication to internal and external customers. Support the branch operations manager by providing guidance and information that contributes to branch performance and profitability.
The Fleet Coordinator role has responsibilities in the two main areas of Parts Administration and Service Support. Each associate will have a unique accountability list as outlined by their operations Manager. The list of Key Responsibilities shown below includes all areas.
This position will be working Monday-Sunday either 7am - 3:30pm OR 10am - 6:30pm
KEY RESPONSIBILITIES
- Maintain Service Net Planner with PMs campaigns, repairs from drive-ins, call-ins, and 24/7 calls, and off lease/on lease. Start R/O's, schedule pick-ups and vendor outside work.
- Partner with Centralized PM Scheduling Operations and Outside RO Management teams to foster collaboration in support of the customer.
- Greet customers at the location and provide quality phone, email and in-person service. Respond to customer inquiries regarding billing and scheduling.
Inventory Productivity
- Full oversight of inventory productivity at the branch(es) for timely service support while mitigating risk of inventory loss.
- Maintain optimal inventory levels through ordering parts according to sourcing procedure ensuring suppliers deliver purchases defect-free and on-time through partnering with Centralized Parts Ordering on a daily basis.
Process Analytics
- Perform process analyses and reviews in areas such as Inventory, maintenance profitability, warranty campaigns, cycle counts, RO reviews and other areas. Investigate and recommend solutions and/or guidance to issues posing a risk to the drivers of profitability.
- Use systems such as Fleetio, ALL DATA or AUTO INTEGRATE to understand the operational dynamics for problem solving and process improvement.
Other Responsibilities
- Projects and tasks as assigned by Branch Financial Manager and District Financial Manager.
Major Responsibilities:
Perform all levels of preventive maintenance services
- Use hand tools such as screwdrivers, pliers, wrenches, pressure gauges, and precision instruments, as well as power tools such as pneumatic wrenches, welding equipment, and jacks and hoists.
- Have required tools to perform all maintenance outdoors equipment, automotive, truck and van series of and repair work as required by the vehicles operating within the district.
- Regular, predictable, full attendance is an essential function of the job.
- Ensure required paperwork before and after work is performed is complete and accurate when installing any product on a vehicle.
- Ensure that customer vehicles are treated with great care. Vehicles must be returned to the customer in the same or better condition than when they arrived.
- Coordinate with other personnel to ensure shop area is clean, organized, and safe.
- Provide proper care, service and maintenance of equipment, tools, and merchandise.
- Clean, service and maintain company vehicles.
- Protect company assets and maintain company and customer confidentiality.
- Perform additional duties that may include rentals, sales, verifications, collections etc. as necessary.
- Enters and locates information on computer.
- Visually verifies information, often in small print.
- Safely operate a motor vehicle.
- Utilize internal company resources including intranet, fitment guide, etc., when needed.
- Ability to work with minimum supervision.
- Ability to work Saturdays, Sundays and split days off until 7 p.m. or later.

Qualifications:
- High school diploma or equivalent required, degree preferred
- Interpersonal and relationship building skills with an ability to collaborate with branch team members and clients.
- Competent written and verbal communication skills
- 2 years’ experience in customer service and operations experience required
- 2 years working in service and parts department preferred
- Agile and quick learner, enjoys collaborative projects and continuous education
- Advanced computer skills including Microsoft Word, Excel, Outlook, and PowerPoint required
- Regular, predictable, full attendance is an essential function of the job
- Drivers License required
- Willingness to travel as necessary, work the required schedule, work at the specific location required, complete XFS employment application, submit to a background investigation (to include past employment, education, and criminal history), and drug screening are required.
Physical Requirements:
- The associate will be required to: read; communicate verbally and/or in written form; remember and analyze certain information; and remember and understand certain instructions or guidelines.
- While performing the duties of this job, the associate may be required to stand, walk, and sit.
- Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and the ability to adjust focus.
- The fleet coordinator is frequently required to use hands to touch, handle, and feel, and to reach with hands and arms. The coordinator must be able to regularly lift and/or move up to 50lbs/23kg and occasionally lift and/or move up to 100lbs/45kg.

- Always maintains and promotes safe working conditions in the field
- Follows company procedures on discipline if any safety rules are broken
- Have zero preventable accidents
Image Compliance
- Maintains a clean, neat, and professional image of service vehicle & trailer
- Ensure crew members maintain professional image always using approved XFS uniforms and by monitoring & maintaining proper employee actions
Equipment Management
- Ensures all assigned equipment, tools, safety items, vehicles & trailers or other items are maintained in proper working order by following proper maintenance and inventory schedules
- Is accountable for neglect and abuse of assigned equipment
