Description

The Project Support Specialist will play a key role in supporting the IT department's administrative and operational needs, helping to streamline workflows, manage documentation, and assist with light project management tasks. This role ensures the smooth execution of day-to-day activities and contributes to the successful delivery of IT initiatives by providing behind-the-scenes support. The ideal candidate is organized, detail-oriented, and proactive, with a knack for juggling multiple tasks.

Requirements

Key Responsibilities

  • Manage calendars, schedule meetings, and coordinate appointments for IT leadership.
  • Prepare agendas, take meeting notes, and follow up on action items as needed.
  • Organize and maintain IT-related documents, records, and reports.
  • Assist with tracking project tasks, deadlines, and deliverables to ensure timely completion.
  • Maintain task lists and update progress reports for ongoing IT projects.
  • Create and maintain clear, organized documentation of IT processes, workflows, and project updates.
  • Generate status reports, summaries, and presentations for IT leadership and stakeholders.
  • Provide light project management support, such as organizing timelines, tracking progress, and flagging potential delays.
  • Support IT leadership in coordinating small-scale initiatives, such as system upgrades or team training sessions.
  • Suggest improvements to administrative workflows, resource management, and documentation practices.

Education and Experience

  • Bachelor's degree or equivalent experience in Business Administration, Information Technology, or a related field.
  • 1-3 years of experience in an administrative support, project coordination, or similar role.
  • Strong organizational and multitasking abilities with high attention to detail.
  • Proficiency in productivity tools such as Microsoft Office Suite, Teams, and SharePoint.
  • Basic understanding of IT concepts or a willingness to learn technical terminology.
  • Excellent communication skills, both verbal and written.
  • Familiarity with project management tools (e.g., Microsoft Project, Jira, or Trello).
  • Experience supporting IT teams or technical projects.
  • Proactive and self-motivated, with the ability to work independently.
  • Flexible and adaptable to shifting priorities in a fast-paced environment.
  • Strong problem-solving skills and a solutions-oriented mindset.
  • Collaborative team player who thrives in supporting others
  • The role offers a hybrid work environment with flexibility to attend in-office meetings as needed. Occasional support outside regular hours may be required for IT projects.
