This position is responsible and accountable to the YNHH Cancer Register Manager for the oversight of the day to day operations of the Cancer Registry department and staff. This Individual will manage priorities and deploy staff to complete the scheduled work. Monitors the day-to-day operations and addresses issues as they arise. Serves as a liaison for the Registry with external parties. Other duties may be assigned.

Responsibilities

  • Oversees registry operations.
    • 1.1. Responsible for defining department priorities.
    • 1.2. Ensure compliance with all cancer registry standards according to the American College of Surgeons Commission on Cancer Accreditation.
    • 1.3. Assists Cancer Registry Manager, Cancer Program Director, and Cancer Committee members as needed in the survey process for the Cancer Program Accreditation by the American College of Surgeons, Commission on Cancer.
    • 1.4. Assists the Cancer Registry Manager and Breast Program Director in National Accreditation Program for Breast Centers survey process.
    • 1.5. Serves as the contact with the Connecticut Tumor Registry and Commission on Cancer.
    • 1.6. Adheres to data submission regulatory requirements to the Connecticut Tumor Registry and the Commission on Cancer's National Cancer Database.
    • 1.7. Manage staff's daily work routines.
    • 1.8. Contributes to the performance evaluations of the cancer registry in a timely manner.
    • 1.9. Plans annual and quarterly department goals.
    • 1.10. Prepares reports as requested and assists in the interpretation of data.
  • 2. Manages registry performance by monitoring productivity for abstracting timeliness and accuracy.
    • 2.1. Ensures compliance with the Commission on Cancer and Connecticut Tumor Registry Data Standards.
    • 2.2. Works with Manager and staff to continuously improve the efficiency and productivity of operations in the registry.
    • 2.3. Works with Manager to address in conflict resolution, performance management and disciplinary measures as needed.
    • 2.4. Monitors productivity and results weekly.
    • 2.5. Works with the Manager to react to workload benchmarks and puts corrective actions in place to maintain standards.
  • 3. Coordinates team building and fosters positive staff morale.
    • 3.1. Conducts regular staff meetings ensuring two way communication with staff and volunteers.
    • 3.2. Supports professional growth and development.
    • 3.3. Assists with individual goal setting and performance appraisals.
    • 3.4. Mentors staff as needed.
    • 3.5. Works with manager to provide reference manuals and training materials as needed.
    • 3.6. Sets team performance expectations.
    • 3.7. Identifies concerns and addressed immediately.
    • 3.8. Raises any work conditions that may impede work environment to the Manager.
  • 4. Serves as the lead to ensure that new staff have the required equipment, supplies and IT access to complete their work.
    • 4.1. Coordinates new employee IT access to YNHH and Cancer Registry applications.
  • 5. Performs case abstracting to maintain proficiency and meet work volume demands.
    • 5.1. Minimum of 3 cases per day. Summarizes and abstracts information on new and old cases from medical documents directly into an on-line computer database maintained by the Yale-New Haven Health System. Selectively codes additional information by review of the complete medical record and from outside sources. Reviews the finalized record for errors and completeness and submits for quality review to the Quality Coordinator.
    • 5.2. Actively performs abstraction to maintain skills and assist department to meet goals.
    • 5.3. Reviews work of team to ensure accuracy and timelines in abstraction.
  • 6. Commission on Cancer Accreditation Responsibilities.
    • 6.1. Works with the Program Director and Manager to develop agenda for Cancer Committee.
    • 6.2. Coordinate meetings, including minutes required to meet Commission on Cancer standards and survey process, works with the Program Director and Manager to upload all required information into the SAR monthly.
    • 6.3. Provides support to the American College of Surgeon Cancer Liaison Physician.
    • 6.4. Ensures the quality metrics from the Commission on Cancer are met and submitted as required.
    • 6.5. Ensures attendance at Tumor Board and documentation in tumor registry database.
    • 6.6. Ensures annual data submission to the National Cancer Database as required by the Commission on Cancer.
    • 6.7. Assures timeliness of data submission for Cancer Program Practice Profile Reports, Rapid Quality Reporting System and National Cancer Database as required by the Commission on Cancer.
  • 7. Identifies opportunities to improve registry functions.
    • 7.1. Attends regional or national conference as required by the Commission on Cancer.
    • 7.2. Networks with colleagues across the health system to develop best practices.
  • 8. Performs other related duties as assigned.

Qualifications

EDUCATION

High School Diploma or equivalent. Bachelor's degree preferred.

EXPERIENCE

3 or more years of experience in a cancer registry setting with a focus on supervision of staff preferred.

LICENSURE

CTR - Certified Tumor Registrar

SPECIAL SKILLS

Computer proficiency in cancer registry databases, Microsoft Office. Required working knowledge of: Collaborative Staging, American Joint Committee on Cancer, Cancer Staging, Surveillance, Epidemiology and End Results Program Summary Staging, ICD-O Coding, Facility Oncology Registry Data Standards, Multiple Primary and Histology Coding Rules, and the Hematopoietic Manual and Cancer Program Standards of the American College of Surgeons Commission on Cancer. Excellent communication skills. Able to work closely with multi-disciplinary team.
