Provides secretarial, clerical, and support services for the Education Department to include typing, filing; room scheduling,audiovisual equipment, catering requests, and pre-registration for education programs. Assists with program preparation: supplies, hand-outs, and room set-ups, maintains records for all education programs; processes all supply orders through the on-line purchasing system; distributes departmental mail; maintains/cleans departmental equipment;. Coordinates and prepares monthly education calendar and department printing needs with the document center. Assists with the access of equipment and password ID's for new staff (beepers, phone codes, pyxis ID's, Meditech sign-ons, etc.). Also provides assistance with the department payroll and other tasks as needed by the Education Manager.

Responsibilities
- 1. Manages support services accurately and in a timely way as outlined in the job summary, and maintains education records for hospital wide training programs in accordance with regulating agency standards.
- 2. Creates and maintains the Education Department filing system for the above records, updates staff transcripts of educational activities, tracks program attendance, and files other educational material.
- 3. Promotes positive departmental communications with hospital staff by meeting staff needs in a friendly, accurate, and timely manner, maintaining Greenwich Hospital's Service Excellence standards.
- 4. Coordinates departmental audiovisual and educational programming needs in an accurate and timely manner to include arranging for catering requests according to the guidelines of the Hospitality Services, coordinating paper supplies needed, maintaining an adequate supply of orientation information, and overseeing the printing of educational materials with the Document Center.
- 5. Composes routine correspondence for the Education Department members from general oral instructions.
- 6. Screens incoming calls and requests to all of the Education Department members as appropriate, provides requested information, takes messages accurately, or re-directs the staff/caller to the appropriate person/department.
- 7. Maintains the monthly education calendar; schedules programs appropriately in conjunction with the Education Department staff; distributes the calendar to all departments and individuals on a monthly basis.
- 8. Maintains adequate levels of departmental office supplies such as stationary, business cards, forms, writing instruments, printer supplies, and other basic office supply needs.
- 9. Maintains all business equipment, such as fax and copy machines, in functioning order and arranges for routine maintenance by contacting vendors for required repairs.
- 10. Assists with new employee orientation by coordinating and assisting with ID's: badge, phone, pyxis, computer, and other other requests as needed.
- 11. Assists with any other activities important to the functioning of the Education Department as directed by the Education Coordinators.
- 12. The staff member must be able to demonstrate the knowledge and skills necessary to provide care appropriate to the age of the patients served on his or her assigned unit. The individual must demonstrate knowledge of the principles of growth and development over the life span and possess the ability to assess data reflective of the patient's status and interpret the appropriate information needed to identify each patient's requirements relative to his or her age-specific needs, and to provide the care needed as described in the unit's area's/department's policies and procedures.
Qualifications
EDUCATION
High school graduate or certificate of equivalency; secretarial training/experience preferred.
EXPERIENCE
Secretarial training/experience preferred.
SPECIAL SKILLS
Ability to read and write the English language; basic math skills; computer skills, including Microsoft Word, Excel, Powerpoint, and Outlook; excellent phone skills, including proper use of the phone system; effective verbal communication; efficient organizational skills. Ability to maintain and coordinate departmental use of fax and copy machines, audiovisual equipment, and assist with the hospital computer education system. Excellent communication skills and ability to relate well with people of diverse backgrounds, training, and experience. Must have ability to work independently to prioritize and complete assigned tasks
PHYSICAL DEMAND
Office setting. Limited work and storage space. Flexible work schedule may be needed depending upon educational needs of hospital. Principally sitting, walking, standing, lifting boxes. Transports a variety of educational supplies and equipment to conference rooms. Requires effective mental effort with continual interruptions by staff and the phone.
