What are the responsibilities and job description for the Front Desk Receptionist/Concierge position at Yampah Spa & Vapor Caves?
Front Desk Agents are responsible for providing a five-star welcome, check-in, and departure experience to each client, serving as ambassadors of the Yampah Spa brand, mission and product lines. They begin the on-site Spa experience for our clients by extending a warm welcome upon arrival, confirming the services booked for that day and in the future and ensuring our clients have what they need to begin their Spa experience. Front desk staff play a key role in ensuring all the appropriate client information and preferences are correctly recorded and routed. They are also responsible for settling client accounts upon check-out, resolving any issues, coordinating with management, and relaying information to appropriate departments. Their scope of work requires them to perform their duties both independently and under manager supervision.
Responsibilities:
- Show up on time and prepared for your shift
- Extend a genuine, professional, and warm welcome to the spa
- Empathetically listen to client inquiries and provide appropriate responses
- Record all pertinent client information and preferences in our booking system
- Communicate pertinent client information to designated departments/personnel (i.e., special requests, special occasions).
- Give tours to new clients, explaining the building layout, caves and ensuring all clients know what to expect for their experience
- Count and manage cash drawer banks at the beginning and end of shift
- Create, review, and distribute service tickets to therapists/practitioners
- Maintain confidentiality of all guests and SPA information
- Analyze the bookings for the day in question and accommodate all deliverable service changes accurately and expediently
- Document all client requests, complaints, or problems immediately and notify designated manager/department/personnel for resolving the situation. Follow up to ensure completion and client satisfaction
- Maintain a clean and organized work area
- Actively engage our clients, when appropriate, and solicit our product lines
- Follow-up with all online booking requests by calling the client and creating the reservation with them on the phone
- Identify and resolve discrepancies with the clients’ schedule of services (i.e. confidently adjusting a schedule of services so that our staff/space is optimized)
- Maintain complete knowledge at all times of all SPA features/services, hours of operation, monthly specials/promotions, building layout, and basic knowledge of our product lines
- Eagerness to sell retail products to guests (Commission available for product sales)
Qualifications:
- Desire and willingness to deliver a 5-star experience to our guests
- Communicator - Ability to clearly and pleasantly communicate both verbally and in writing in English with clients, management, and co-workers, both in person and by telephone; Ability to think clearly, quickly and make well-informed decisions; Ability to communicate effectively in Spanish is preferred but not required
- Organizer - Ability to input information accurately and efficiently into computer systems; Ability to prioritize, organize and follow up
- Team Player - Ability to work cohesively with co-workers both within and outside of your department
- Ability to compute basic mathematical calculations accurately
- Ability to work well under pressure; to successfully process many check-ins, departures, and phone calls within a short period of time professionally and without issue
- Previous customer service experience is required
- Previous Spa or Hotel front desk experience is strongly preferred but not required
- Previous cashiering experience is preferred but not required
- Ability to work AM and PM shifts, both weekdays and weekends is strongly preferred
