Yellowstone Club’s Outdoor Pursuits department is currently seeking candidates for a Billing / Payroll Coordinator.

The purpose of the Billing & Payroll Manager is to manage the Billing Coordinator team and oversee the tracking, billing, and payment of services performed by OP staff and outside businesses. As well as assist in carrying out all aspects related to the billing and payroll functions required by the division. Support business growth, guest experience, and expense management.

Major Responsibilities

  • Ensure that each Member and guest receives outstanding service in a friendly environment. This includes greeting and acknowledging every Member and guest, maintaining exceptional service standards, solid product knowledge, and all other components of guest service.
  • Empowered to guarantee total Member satisfaction, always display hospitality and professionalism to our members and employees, proudly representing Yellowstone Club professionally and ensuring that all transactions are handled legally and ethically.
  • Understand and apply all property, safety, and security procedures to maintain a secure and safe environment for team members, Members, and guests. In an accident or emergency, seek medical attention and immediately contact the Director/VP or Human Resources.
  • Maintain a favorable working relationship with all Yellowstone Club team members to foster and promote a positive working environment.


Essential Job Functions:

  • Effectively manage a team of Billing/Payroll Coordinators while receiving, coding, and submitting invoices and receipts for monthly billing.
  • Manage and oversee daily timeclock and payroll across multiple Outdoor Pursuits departments.
  • Responsible for meeting and certifying bi-weekly payroll deadlines with accurate data inputs and timely communication with YC company payroll manager.
  • Anticipate key account procedure changes and improvements within the Yellowstone Club and successfully implement them amongst the team.
  • Ensure that each member and guest receive outstanding guest service in a guest-friendly environment. This includes greeting and acknowledging every member and guest, maintaining exceptional service standards, solid product knowledge, and all other components of guest service.
  • Provide billing and payroll support.
  • Empowered to guarantee total guest satisfaction, display hospitality and professionalism to our guests, take pride in representing Yellowstone Club professionally with our members and guests, and assure that all transactions with guests are handled legally, ethically, and timely.
  • Understand and apply all property safety and security procedures to maintain a secure environment for employees, members, and guests.
  • Maintain a favorable working relationship with all company employees to foster and promote a positive working environment.
  • Input daily activity information into the billing database.
  • Create and import daily member billing files.
  • Manage the allocation of applicable service fees.
  • Perform audits of financial spreadsheets and payroll data to ensure 100% accuracy.
  • Manage corporate credit cards, invoices, and receipt coding.
  • Receive and track cash payments.
  • Provide valuable, strategic insight related to Billing/Payroll scope of operations during annual budget process.

  • Manage seasonal on-boarding and off-boarding seasonal staff.
  • Data input and management.
  • Follow established processes and procedures.
  • Perform all job duties with a high level of attention to detail.
  • Excellent problem-solving skills, ability to work well under pressure, and a strong desire to learn.
  • All other duties as assigned.
  • Perform all duties and responsibilities promptly and efficiently, following Club policies, procedures, and service standards to achieve this position's overall objectives.
  • Meet departmental productivity, organization, punctuality/attendance, and consistency standards.
  • Maintain a positive and respectful attitude.
  • Treat members, guests, vendors, customers, and co-workers professionally and respectfully.
  • Always maintain the privacy of our members.
  • Always maintain a clean and neat appearance.
  • Communicate regularly and effectively with the VP and Directors.
  • Project a favorable image of Yellowstone Club to members, guests, and all employees.
  • Participate and take a leadership role in employee recognition, disciplinary action, and performance management.
  • Must be able to work flexible work hours/schedule, including evenings, weekends, and holidays. Extended hours may be required due to business demands.

Experience/Education Required

  • Undergraduate degree and 2-4 years of relevant work experience in billing/accounting/finance.
  • Strong knowledge of and experience with Microsoft Office Suite, especially Excel.
  • Strong written and verbal communication skills.
  • Passion for the Outdoors


Experience/Education Preferred

  • Work experience in the Outdoor and/or Ski Industries
  • Undergraduate degree in Accounting, Finance, Business, or a related field.
  • 2-4 years of work experience in an Accounting, Finance or Administrative role.
