Special Operations Assistant to the CEO

We are looking for a Special Operations Assistant to the CEO, to serve as a critical and trusted right-hand for our CEO in all matters of customer satisfaction and success. 

The ideal candidate will track the schedule of project deliverables, provide daily reports on the operation of the business, track the internal workflow of projects, capture action items from client calls, and ensure the satisfaction and happiness of each of our clients.

The ideal candidate is a trusted extension of our CEO, and can work at the pace of the CEO.

The ideal candidate has a passion for process, organization, documentation, efficiency, and client happiness. The ideal candidate can learn how to get things independently, and can train themselves. The ideal candidate willingly rolls up their sleeves, jumps into tasks that need attention, learns what needs to be done, and then just gets things done. Quietly, reliably, efficiently, consistently.

THE DAY-TO-DAY
  • Track the deliverables of 200 clients on a company-wide calendar
  • Track the satisfaction and success of 200 clients of the company
  • Provide daily reports on the operation of the business, the status of different projects, etc. 
  • Follow up daily on action items for the CEO, specifically related to customers/projects
  • Ensure that action items from meetings are captured in Asana and JIRA

  • Is a quick study for the CEO

  • Is proactive, and can think several steps ahead to what is needed/anticipated on a given day
  • Is highly organized and efficient in the face of competing and changing priorities
  • Thrives under (even relishes) pressure and tight deadlines
  • Has exemplary work ethic and can be depended on
  • Can maintain confidentiality, and use their judgement and discretion
  • Is particular about English grammar and written communication.

THE MVP CANDIDATE
  • Is familiar with JIRA, JQL, Asana, Confluence, and other project-management tools. 
  • Is familiar with Excel/Google spreadsheets, including macros, pivot tables, charts, conditional formatting, etc.
  • Is familiar with using design tools such as InDesign, Figma, Sketch, etc. 
  • Has expertise with putting together polished, professional, business documents 
  • Can work independently and be proficient on day 1 of the job with little training
  • Can spot problems proactively, and think several steps ahead
  • Has experience in working with Engineering, Design, and QA teams in a high-tech company
  • Seeks to grow their career in digital/sports, and learn about the ins and outs of running a company


THE REQUIREMENTS
  • Bachelor’s and/or Master’s degree in relevant fields.
  • Excellent writing and communication skills in English (this is a writing-heavy administrative role)
  • Willingness and ability to work the non-traditional hours of the sports industry, including weekends, evenings and holidays (when sports teams have their games scheduled), as needed.
  • Passion for customer service, and a passion to grow one's career in the sports industry.
  • Eligibility to work in the United States.
