We are seeking a detail-oriented, proactive individual to join our law firm in a part-time capacity. You will be responsible for providing administrative support, managing client inquiries, assisting with billing and case flow checks, helping with recruiting efforts, drafting newsletters, and translating legal materials. This role offers flexibility in working hours (approximately 6.5 hours per day) and may allow for remote or in-office work as needed.
Key Responsibilities- Answer Phone Calls & Respond to Inquiry Emails (Approx. 2 hr/day)
- Handle incoming calls from clients and potential clients, recording and relaying any key details.
- Provide answers to frequently asked questions based on a prepared handbook (FAQ).
- Update the FAQ with any new, recurring inquiries.
- Schedule client meetings with attorneys, ensuring no overlaps or scheduling conflicts.
- Case Flow Check & Billing (Approx. 1 hr/day)
- Review ongoing cases daily (e.g., YK LAW (NJ) docket) to confirm progress and upcoming tasks.
- Accurately input attorney billing information into Clio (or similar software).
- Double-check dates, hourly rates, and work descriptions to ensure proper invoicing.
- Recruitment Support (Approx. 1 hr/day)
- Draft and post job announcements as needed for open positions.
- Screen incoming résumés promptly, coordinating interviews and following up with candidates.
- Maintain smooth communication between candidates and the hiring team.
- Newsletter Drafting (Approx. 0.5 hr/day)
- Prepare short newsletters or blog posts on recent firm news, industry developments, or new regulations.
- Collaborate with attorneys to gather relevant examples or materials.
- Ensure newsletters are ready for weekly or monthly distribution.
- Legal Material Summary & Translation (Approx. 1 hr/day)
- Translate and summarize legal documents, focusing on key facts or case-related briefs.
- Communicate with clients to gather additional information for fact-finding.
- Properly label any billable activities to facilitate accurate attorney billing.
- At least an Associate’s degree; preference for candidates with a background in law, business, or languages.
- Proficiency in Microsoft Office (Word, Excel), email systems, and billing software (e.g., Clio).
- Strong communication skills in both English and Chinese (or as required).
- Excellent organizational skills and attention to detail.
- Ability to work independently, meet tight deadlines, and handle sensitive information with integrity.
- Hours: Approximately 6.5 hours per day (flexible scheduling).
- Compensation: Hourly or monthly rate, commensurate with experience and skill level.
- Work Location: Remote or in-office as needed.
- Potential for increased responsibilities or transition to full-time, based on performance.
