Job Overview
We are seeking a motivated and detail-oriented Administrative Assistant to join our dynamic team. The ideal candidate will play a crucial role in supporting daily operations by managing administrative tasks, providing customer support, and ensuring efficient office management. This position requires strong organizational skills, computer literacy, and the ability to multitask effectively.
Duties
- Provide exceptional customer support through effective communication and problem-solving skills.
- Perform various administrative tasks including filing, data entry, and document management.
- Maintain organized records and files to ensure easy retrieval of information.
- Utilize Google Suite for creating documents, spreadsheets, and presentations.
- Managing Team Unify for swim team billing, posting meet fees, creating check requests for host meets.
- Operating the SWIMS site: USA swimming website to monitor athletes, non-athletes registration and certifications.
- Keep track of coaches certifications and assist in recruiting swim meet helpers (timers etc.)
- Communicating with the swim team parents of all levels.
- Utilize Daxko Operations to monitor membership status and collect fees.
- Walk through the Swim team parent welcome packet with the parents, be sure packet is complete, and accounts are set up including payment methods and discuss the registration process with USA swimming (eventually have this set up electronically)
- Communication with coaches regarding new swimmers, changes, meet checks
- Working with Oregon Swimming, preparing post meet calculations, payment for swim meets etc.
- Participate in home swim meets, set up break down, securing supplies, ribbons, porta potties, t-shirts, etc.
- Handle incoming calls and correspondence with professionalism and courtesy.
Experience
- Proven experience in an administrative role or similar position is preferred.
- Strong computer literacy with proficiency in Google Suite and other software platforms.
- Excellent time management skills with the ability to prioritize tasks effectively.
- Exceptional organizational skills with a keen attention to detail.
- Ability to work independently as well as collaboratively within a team environment.
- Previous experience in customer support or clerical duties is a plus.

Pay: $16.00 - $18.00 per hour
Expected hours: 5 – 15 per week
