Administrative Assistant - Youth Development

Position Summary:

Provides Youth Development Staff administrative and office support. Provides support for 3rd party billing and revenue receipting and assists with before and after school and camp registration process.

 

Essential Functions:

  1. Assists the lead Youth Development Registrar with all administrative duties for Association-wide Before and After School and Summer Camp sites.
  2. Assists with registration, collection, returns and general problem-solving issues.
  3. Generates and distributes monthly attendance reports from our operating system, Daxko, and by request of Vice President and Senior Program Directors as needed.
  4. Returns all voicemail messages and emails within 24 hours.
  5. Provides customer service to families and participants of programs.
  6. Registration for Before and After School and Summer Camps.
  7. Assists with Financial Assistance for program families.
  8. Manage 3rd party billing and revenue receipting.
  9. Upholds association policies demonstrate ethical behavior and exhibit the YMCA’s core values.

Qualifications:

  1. High School Diploma required, and College preferred.
  2. Minimum of 2 years of experience in related field
  3. Intermediate knowledge of Microsoft Office Suite including Word, Outlook, Excel, PowerPoint.
  4. Oversees self in a professional manner. Works with integrity, discretion, and maintains confidentiality. Upholds a professional appearance.
  5. Proven ability to have initiative, good judgments, and ability to make decisions independently.
  6. Ability to multi-task and work well under pressure. Highly organized and detailed orientated.

  2. An effective team player who contributes valuable ideas and feedback and can be counted on to meet expectations and commitments.
  1. Strong verbal and written communication skills. Able to organize ideas in a clear, well-organized manner, and demonstrate an understanding of audiences’ needs.
  2. Prefer knowledge of, and previous experience with, diverse populations (language, culture, race, physical ability, sexual orientation, etc.).
  3. Ability to speak any language in addition to English may be helpful.
