The Program Administrative Coordinator is responsible for planning, coordinating, and managing
YMCA programs, projects, and events to ensure a high-quality experience for participants. This role
involves facilitating activities, managing logistics, maintaining records, overseeing budgets, and
ensuring clear communication with stakeholders while upholding YMCA standards and values.

Essential Functions
Plan and coordinate program and project activities, ensuring they align with YMCA goals and
community needs.
• Schedule and manage logistics for program events and projects, including securing venues,
coordinating staff, and ensuring smooth execution.
• Facilitate scheduled sessions with participants, staff, and/or volunteers, providing leadership and
engagement opportunities.
• Track project progress and program deliverables, ensuring alignment with goals and deadlines.
• Collect, analyze, and report data for program evaluation and improvement.
• Communicate updates with stakeholders, including participants, families, staff, and community
partners.
• Order and manage program materials, ensuring resources are available and efficiently used.
• Monitor program and project spending against budget, ensuring financial accountability and
efficiency.
• Ensure program and project compliance with YMCA policies, safety standards, and reporting
requirements.
• Collaborate with YMCA leadership, staff, and community partners to enhance impact and
effectiveness.
Performs other duties and tasks as assigned by leadership
Qualifications
Required Qualifications
• High school diploma or equivalent required; some college coursework in education, recreation, or
a related field preferred.
• Experience in program planning, facilitation, or working with youth/adults in a structured setting
preferred.
• Strong communication and interpersonal skills, with the ability to lead and engage diverse
participants.
• Ability to manage program logistics, including scheduling, documentation, and supply
coordination.
• Organized and detail-oriented, capable of maintaining accurate records and reports.
• Ability to work independently and collaboratively, demonstrating leadership and problem-solving
skills.
• CPR and First Aid certification (or ability to obtain within 30 days of hire).
• Basic computer skills for documentation, reporting, and communication.
• Commitment to the YMCA mission and values, promoting inclusion, respect, and community
engagement.
• Flexibility to work evenings, weekends, and special events as program needs require.
All YMCA team members are expected to maintain a current and active status for all safety, risk, and
programming certifications defined by the YMCA of Greater Charlotte.
Preferred Qualifications
Working Conditions
Environment: Primarily indoor setting at YMCA centers, with occasional outdoor activities,
community events, and work at non-Y locations. May require travel to multiple locations in
personal vehicle, depending on scope of program or project.
• Physical Demands: Requires standing, walking, and facilitating activities for extended periods;
occasional lifting of program materials (up to 25 lbs.).
• Schedule: Must be able to work flexible hours, including evenings and weekends, based on
program schedules.
• Interaction: Frequent engagement with participants, parents, staff, volunteers, and community partners in a fast-paced, team-oriented environment.
• Safety: Must adhere to YMCA safety protocols and be prepared to respond to emergency
situations as needed.
