Pay Range : $20-$24 / Hourly Depending on Experience

This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living and social responsibility. The Client Relations & Marketing Coordinator will work collaboratively with the Director of Counseling and Well-Being, Counselors, and department staff, to connect with clients and effectively promote the counseling center's services. The Client Relations & Marketing Coordinator is responsible for maintaining a pleasant and consistent flow in daily operations. This position should possess a blend of knowledge in mental health, marketing, and client relations, along with strong communication, organizational, and analytical skills.

This position will receive a minimum of 3 weeks Paid-Time Off, Holiday Pay, Full-time benefits to include Medical, Dental, Vision, Life insurance, a Retirement 403(b) pension plan upon eligibility and a Free YMCA Membership.

ESSENTIAL FUNCTIONS :

Client Relations

Client Onboarding :

  • Manages the intake process for new clients, ensuring a smooth transition and understanding of services offered.
  • Conducts follow-up calls and surveys to gather feedback on the client experience.

Client Communication & Engagement :

  • Serves as the primary point of contact for clients, addressing inquiries, concerns, and scheduling requests.
  • Maintains clear and compassionate communication with clients, ensuring their needs are met effectively.
  • Develops and implements strategies to enhance client engagement and retention.
  • Organizes events, workshops, and support groups to foster community and provide additional resources for clients.
  • Data Management :

  • Maintains accurate and confidential client records in compliance with HIPAA regulations.
  • Analyzes client data to identify trends and improve services.
  • Collaborates with leadership, counselors, and other departmental staff to ensure that data is accurately input into trackers and all other databases.
  • Marketing

    Marketing Strategy, Content Creation & Digital Marketing :

  • Collaborates with leadership to develop and implement marketing strategies that promote the counseling department’s services.
  • Conducts market research to identify target audiences and assess the effectiveness of marketing efforts.
  • Creates marketing materials in partnerships with the association marketing department, creates newsletters and social media posts.
  • Manages the department’s social media accounts, creating engaging content and monitoring interactions.
  • Oversees the department’s website, ensuring that information is up-to-date and accessible.
  • Community Outreach :

  • Develops and maintains relationships with community organizations, schools, and healthcare providers to promote the Y’s services.
  • Represents the Y’s counseling department at community events and networking functions.
  • Event Planning & Analysis :

  • Plans and coordinates marketing events, workshops, and informational sessions to attract new clients and educate the community about mental health topics and resources
  • Tracks and analyzes the effectiveness of marketing campaigns and client engagement initiatives, providing regular weekly reports to management.
  • Adjusts marketing strategies based on performance metrics and client feedback.
  • Team Collaboration :

  • Works closely with therapists and leadership staff to ensure cohesive service delivery and communication.
  • Participates in staff meetings and contributes to the overall strategic planning of the counseling department.
  • Other duties as assigned by supervisor.

  • QUALIFICATIONS :

  • High School Diploma, GED, or equivalent experience required.
  • Minimum of 1 year of experience as Counseling or Medical Front Office preferred.
  • Must have EXCELLENT communication skills and interpersonal skills.
  • Bilingual (English and Spanish) preferred.
  • Ability to multitask and work effectively in a dynamic environment.
  • Strong organizational and time management skills, and ability to prioritize.
  • Strong problem-solving skills and analytical abilities strongly preferred.
  • Must be proficient with Microsoft Office and Google products, as well as scheduling systems.
  • Certifications required within the first week of hire : Bloodborne Pathogens, Defensive Driving, and Hazardous Communications.
  • Certifications required within the first 60 days of hire : YMCA approved basic life saving skills such as CPR, First Aid, AED. This position must have the ability to respond to safety and emergency situations.
  • Must be 21 years of age and have a valid driver’s license, as well as the capacity to drive to various locations within the greater San Antonio metropolitan area.
  • WORKING CONDITIONS :

  • Work is performed in a fast-paced office or gym facility environment. Position requires attending meetings at different off-site locations.
  • Sufficient strength, agility, and mobility to perform essential functions of position and to safely supervise children’s activities.
  • Visual acuity is required for reading computer screens and / or documents and making changes as necessary / required.
  • Job requires high levels of alertness and concentration. This position requires analytical abilities and multitasking in order to identify problems and recommend solutions.
  • Job requires accuracy and attention to detail, organizational, and time management skills, while maintaining high levels of initiative in order to work within deadlines.
  • Occasional stooping and bending with regular lifting of up to 20 pounds is required.
  • Incumbent must be able to sit and stand for long periods of time, and the ability to manipulate keyboards, telephone keypads, and writing utensils is essential.
