Essential Responsibilities
The Wholesale Sales Coordinator will be responsible for managing billing processes, resolving discrepancies, and ensuring accurate financial records related to the Wholesale market segment for our portfolio of resorts.
- Manage payment processes for static wholesale reservations, including but not limited to Virtual Credit Cards, Direct Bill, and ACH Wire Transfers
- Review billing discrepancies and resolve issues to ensure balanced folios and accurate financial records
- Collaborate with internal departments to obtain necessary billing information
- Verify accurate routing instructions are attached for each static wholesale reservation prior to guest arrival
- Coordinate with accounts receivable team to ensure timely payments and follow up on overdue accounts
- Maintain billing documentation and records for audit purposes.
- Follow established Standard Operating Procedures for wholesale processes
- Provide support during audits and financial reviews
- Generate billing reports to collect prepayments as contractually required
- Address customer inquiries and concerns regarding billing issues promptly and professionally
- Experience in accounting and/or billing is a plus!
- Languages: Fluent in English, second language is a plus
- Excellent communication, time management, and organizational skills
- Minimum 1 year sales experience
- Requires someone who is detail-oriented with strong problem-solving skills
- Proficiency in Microsoft Excel, Opera, and various wholesaler extranets
- High School diploma or equivalent minimum, college degree preferred
- Requires someone who is well organized and detailed
