POSITION SUMMARY
This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living and social responsibility. Under the guidance of the Director of Youth Achievement, the School-Age Area Coordinator is responsible for the organization, delivery and quality of YMCA Before and After School and Adventure Camp programs to the members, program participants and community. The Area Coordinator will directly supervise the Site and Group Leaders of the assigned programs. This position requires close collaboration with other Area Coordinators to ensure a unified program and experience for all participants.

WORK LOCATION

This position may serve schools in these districts: RPS 205, Harlem 122, Winnebago and Pecatonica schools. Placements will be determined at time of hire.
Regardless of primary assignment, this position may be required to travel between sites as needed.

  • You'll support the commitment of the YMCA to child abuse prevention by:
  • Report any items that may provide a health or safety hazard to staff, members or guests to your supervisor.
  • Follow all policies and procedures related to keeping children safe in our facilities and programs, including those related to the monitoring and supervision of children.
  • Report any suspicious behavior and violation of policy and procedures to your supervisor.
  • Complete all child abuse prevention training as required.

ESSENTIAL FUNCTIONS

  1. Be a positive YMCA role model for all youth achievement programs by modeling the YMCA core values: Caring, Honesty, Respect, Responsibility & Faith.
  2. Supervises and schedules program staff for before and after school sites and summer programs. Actively involved in staff professional development, identifying training needs, facilitating training sessions, mentoring, and supporting orientation.
  3. Develops and manages daily and weekly site schedules, ensuring alignment with program goals and standards.
  4. Conducts regular site visits to lead and develop staff, ensuring the delivery of high-quality and safe programs. Provides ongoing support, guidance, and feedback to staff.
  5. Organizes and leads regular meetings with Site Leads to discuss program updates, challenges, and best practices. Ensures effective communication and collaboration among team members.
  6. Reviews and approves staff timecards for accurate payroll processing. Addresses discrepancies or issues related to staff hours and compensation.
  7. Oversees the implementation of curriculum and program activities, ensuring educational and recreational activities are delivered effectively and meet program standards.
  8. Fosters positive relationships with school administrators, teachers, and parents/guardians. Addresses stakeholder concerns and ensures effective communication.
  9. Provides on-site support and acts as a substitute when staff shortages occur, ensuring continuity of program operations and maintaining required staff-to-participant ratios.
  10. Develops and maintains comprehensive site operation guides. Ensures all staff are familiar with and adhere to these guides.
  11. Conducts one-on-one meetings with Site Leads to provide individualized support and address concerns. Monitors performance and assists with professional growth.
  12. Manages the ordering and distribution of supplies to ensure sites are adequately equipped. Maintains an inventory of materials and resources.
  13. Develops and manages budgets for each site, ensuring fiscal responsibility and alignment with program goals.
  14. Utilizes registration, account, and attendance systems to manage and track program data, ensuring accurate and timely information is maintained.
  15. Ensures sites adhere to all state, local, and YMCA standards and policies.
  16. Collaborates with internal and external partners to ensure clear communication and expectations for families, including account updates, events, suspensions, and behavior expectations.
  17. Attends community events, job fairs, and other relevant gatherings to promote YMCA youth programs, recruit staff, and build relationships with potential partners and participants.
  18. Promotes character development and diversity, equity, and inclusion throughout programming.
  19. Reports damaged equipment or safety hazards promptly.
  20. Performs any other functions necessary for the smooth and efficient operation of the YMCA of Rock River Valley.

QUALIFICATIONS

  • Minimum High School Diploma or GED required
  • Training required upon hire: Child Abuse Prevention, Blood-borne Pathogens, IL Gateways Child Development Health & Safety, IL DCFS Child Abuse and Neglect/Mandated Reporter. Any additional certifications that are required by the state of Illinois.
  • 1-2 years related experience in leadership in a childcare setting
  • Experience in effectively managing a staff team.
  • CPR, AED and First Aid Certifications required within 90 days.
  • Praesidium Academy trainings.
  • YMCA Leader Team Leader certification preferred.
  • Prefer knowledge of, and previous experience with, diverse populations.
  • Proven track record of developing authentic and deepened relationships with others.

SCHEDULE & COMPENSATION

1 Position
Full Time, Non-Exempt, up to 40 hours per week
Regardless of primary assignment, this position may be required to travel between sites as needed.
Monday-Friday, varies between 6:30 am - 5:30 pm (School Year)
Hours may vary on School's Out Days and during Summer Months
$20.00 per hour
