Description

The County of Yolo is recruiting to fill one regular, full-time Library Associate position at the Yolo County Library. The incumbent will work primarily at the Knights Landing Branch Library, be bilingual in English and Spanish, and be required to work evening and weekend hours as part of their regular schedule. Experience working in rural areas, interacting with English language learners, creating programs for children and families, and providing outreach to migrant communities is highly desirable. Those interested in the position should be comfortable working as a sole branch lead at the Knights Landing Library as well as part of a larger team at the Arthur F. Turner Community Library in West Sacramento.

Definition
Under general supervision, the incumbent leads, plans, schedules, and oversees the work of library staff; provides reference and readers advisory services; responds to customer requests and questions; oversees Circulation Desk functions; maintains staff schedules; ensures completion of tasks in accordance with established policies and procedures; communicates policies, procedures and job expectations; and provides training to staff.

Distinguishing Characteristics
This class is the lead and/or advanced journey level in the paraprofessional library series. Incumbents in this class are responsible for performing the most difficult, complex, and/or sensitive tasks related to various library assignments. Positions in this class act as a lead person in charge of the building, branch, or unit in the absence of the Branch Supervisor or Librarian. Incumbents must have the ability to work independently when required and perform the more responsible paraprofessional library work which requires specific knowledge of library functions and services, and the ability to apply basic library tools, methods, and procedures. This class differs from the higher level class of Librarian I/II in that the latter is a professional class that performs a wide variety of duties involving circulation, collection management, and reference services within the County Library system.

Essential Functions

Duties may include, but are not limited to, the following:

  • Serves as lead worker for the Library Assistants and Pages; develops and maintains desk schedules and ensures adequate coverage; trains staff; monitors work flow; creates a positive, supportive work environment; and models expected behaviors.
  • Provides excellent customer service to a diverse community; responds to customer complaints as appropriate and refers difficult problems to the staff person in charge and/or a supervisor or manager.
  • Develops and maintains effective relationships with customers, the Friends of the Library, other organizations, and the community.
  • Explains library policies and procedures to customers and staff.
  • Recommends changes in library policy and procedures.
  • Expands knowledge of field by keeping abreast of library developments by attending workshops and educational programs and reading periodicals and specialized literature.
  • Performs related duties as assigned.
For the following assignment, specific tasks may also be performed, in addition to the above:
Circulation/Public Service:
  • Provides reference and readers advisory service to customers under the direction of Librarians; helps customers make effective use of the library.
  • Oversees all aspects of the circulation function, including registration of borrowers and posting and monitoring overdue charges. Assists customers with public access computers and technology; troubleshoots computer and library equipment problems.
  • Oversees various daily tasks related to branch operations, such as ensuring that the building is opened and closed on time, setting building alarms, overseeing branch deliveries; maintaining branch supplies;
  • Receives, receipts, and deposits monies paid for fines and fees and lost or damaged materials; prepares time sheets and financial records.
  • Performs outreach and represents the library in the community. Recruits, trains, oversees, and provides orientation for library volunteers.
  • Provides input into collection development; develops, plans, evaluates, and conducts library programs.
Technical Services:
  • Oversees the acquisitions function including Electronic Data Interchange (EDI) ordering, tracking and reporting, receiving materials, processing electronic invoices, manual creation of invoices, and setting up funds and performing fiscal close.
  • Assists with the selection of library materials; performs copy cataloging.
  • Maintains standing orders and print subscriptions.
  • Acts as a liaison to vendors to ensure accurate order records and invoices including electronic media.
  • Orders supplies and oversees the processing function including label production; responds to library staff concerning order questions.
  • Works with the Collection Development Librarian to support the collection.
  • Participates in updating and maintaining the integrated library system (ILS).
  • Runs notices and statistical reports.
  • Maintains procedural manuals.

Employment Standards

Education: Associate's Degree from an accredited college or university preferably in a library-related major/program; AND

Experience: One (1) year of library experience comparable to the Yolo County class of Library Assistant I or above, in a mid-size or large public or private library; Or two (2) years of experience as a team leader or shift supervisor overseeing customer service functions in a non-library setting.

Substitution: Additional experience comparable to the Yolo County class of Library Assistant I or above, in a mid-size of large public or private library may substitute for up to thirty (30) semester (45 quarter) units of the required education, on the basis of one year of full-time experience is equivalent to 30 semester (45 quarter) units.

Knowledge of:
  • Principles and practices of leadership, mentoring, and training
  • A wide range of library functions, services, tools, methods, and procedures
  • Library computer applications and Integrated Library Systems (ILS)
  • Standard reference materials
  • Dewey decimal classification system, Library of Congress subject headings, and Library filing rules
  • English usage, spelling, grammar, and punctuation
  • Principles of effective public relations and outreach
  • Principles, practices and philosophy of public library work

  • Use or quickly learn to operate online circulation systems, online catalog, databases and other computer applications
  • Represent the library to the community; teach library skills
  • Communicate clearly and concisely, verbally and in writing
  • Assess and prioritize multiple tasks, projects, and demands; set priorities; exercise judgment and organize work assignments
