SUMMARY
Assists the principal in maintaining an efficient school office. This role is 220 days, and there are work days throughout the summer.
Essential Responsibilities Other duties may be assigned
- Types of correspondence, bulletins, reports, memos, etc., for the building principal and assistant principal. Do general filing, typing, and copying as appropriate.
- Supervises office procedures and, in cooperation with the principal, establishes the priority of office work.
- Establishes all appointments and is the initial contact person for all incoming calls for the principal and assistant principal.
- Is a receptionist for visitors to the Main Office.
- Maintains attendance record cards for all administrative, certified, and non-certified office personnel. And assists the principal with managing WillSub, our contractor for substitute teachers.
- Prepares bi-weekly reports on substitute teachers used at the high school.
- Process time slips for all non-certified personnel.
- Types, records, and processes all requests for purchases of supplies and equipment. (needs an understanding of purchase orders and requisitions)
- Maintains adequate teacher and office supplies.
- Maintains a journal of accounts covering all corporation monies spent for supplies and equipment for the high school.
- Supervises the operation and maintenance of all office equipment.
- Processes all field trip requests and Professional Development requests.
- Assists special education teachers with scheduling annual case conferences in conjunction with the principal's schedule.
- Processes all professional, personal, and other contract-related leave requests.
- Sorts and distributes all high school mail.
- Maintains and, when necessary, processes insurance forms.
Knowledge and Skills
a. The ability to work independently using Microsoft Word, Excel (including mail merge, formulas, and spreadsheets), Publisher, etc., to prepare, create, edit, and design memos, reports, letters, and newsletters. Similarly to Microsoft, the ability to work in Google Docs, Sheets, and Slides.
b. Highly developed communication and interpersonal skills in order to relate to students, parents, staff, administrators, and the community. The ability to negotiate effective working relationships and develop position resolutions to conflict.
c. Strong organizational skills in order to manage multiple issues simultaneously combined with the ability to effectively prioritize.
d. The ability to work independently and within a team while maintaining cooperative working relationships.
e. The ability to communicate electronically. Possesses highly developed technology skills.
f. Has a strong understanding and commitment to the confidentiality afforded to all students and staff working in a school setting.

MATHEMATICAL SKILLS: The ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. The ability to computer rate, ratio and percent, and to draw and interpret bar graphs. The ability to balance a ledger and track dollars spent from the educational fund associated with the high school.
REASONING ABILITY: The ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. The ability to deal with problems involving a few concrete variables in standardized situations.
OTHER SKILLS AND ABILITIES: The ability to operate a personal computer and related software. The ability to establish and maintain effective working relationships with students, staff, and the school community. The ability to communicate clearly and concisely, both orally and in writing. The ability to perform duties with an awareness of all district requirements and Board of Education policies. High a high morale code and respect confidentiality afforded to all students and staff in a school setting.

The noise level in the work environment is usually quiet. However, during passing periods and before and after school, there are high traffic and high volume times.
