Young Life in Southwest Michigan is seeking a part-time area office administrator who would work closely with the area director and staff to support the area's administrative needs. The area administrator will be the information center of the area and thus play a key role. Keeping detailed information and being open to relaying necessary information to staff, leaders, students, parents and donors is vital to the health and success of the area. An ideal candidate will be organized, detail-oriented and passionate about students knowing Jesus Christ. The person will also have the ability to create and refine systems/manage projects to help move the area toward long-term health, allowing us to impact more students.

Responsibilities
Essential Duties:
Organization & Staff Support
- Conduct general office tasks: answer correspondence, file documents, & prepare mailings
- Process & track donations
- Ensure leader forms, driver questionnaires & criminal background checks are up-to-date
- Pay incoming bills upon confirmation by AD
- Coordinate & attend area meetings, including staff, leadership, & committee meetings
- Interact with area office assistants, area directors, area committee, volunteer team leaders and volunteer leaders within the area
- Track participation, payments, health forms and how much each kid has earned in fundraisers.
- Communicate with parents about camp sign-ups, itineraries and health forms.
- Responsible for fundraiser marketing.
- Construct and distribute camp brochures.
- Communicate with camp regarding camp contracts, R2 deposits, A-forms, housing request forms and 10-day call-ins.

- Serve as project manager of annual banquet & other fundraising events, leading sub-committees/teams committed to each
- Lead or identify banquet planning team member to plan & execute the following communication tasks:
- Create invitations, table host packet, banquet program and donor cards/case statements
- Distribute invitations
- Track guest list, table sponsors, RSVP list and donations received from the banquet
- Coordinate with table hosts about their invitation lists
- Send thank you notes to event sponsors & banquet donors
- Create club/event postcards, flyers, &/or maps
- Build & maintain annual communication calendar for area, including newsletter, donor care tactics, fundraisers/events
- Own the monthly newsletter from content gathering through send to subscribers
- Keep area website up to date
- Send area prayer emails in partnership with Area Committee Prayer Coordinator
- Respond to emails & phone calls in a timely & professional manner, including inquiries via website
- Send direct mail updates & thank you notes
- Associate or bachelor's degree preferred.
- Two to four years previous administrative assistant experience preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Drive.
- Strong organizational skills with attention to detail.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality.
- Great customer service skills.
- Proven relational skills with kids and adults.
Working Conditions:
- Office environment
- Area Administrator will have access to office space with places to store confidential material.
- Area Administrator will not be required to work from this office space if work can be done remotely.
- Quarterly Regional meetings are not a requirement for part-time employees but highly recommended.
- Area Office Administrator will meet with Area Director weekly (face to face preferred).
- Position could require some evenings and weekends throughout the year.
