TITLE: Administrative Assistant II, Guidance
EMPLOYMENT TERMS: 1.0 FTE/10-month position
SALARY CLASSIFICATION: Classified
GENERAL STATEMENT of RESPONSIBILITIES:
The Administrative Assistant II – Guidance will be responsible for providing a positive relationship with students, faculty, staff, and parents. Responsibilities will include maintaining a high level of confidentiality and standard professionalism for the administrative offices and assuring smooth and efficient operation of the school office.
PRINCIPLE DUTIES:
- General office coverage; answers phones and greets public.
- Assists counselors in verifying graduation requirements and credits earned.
- Establishes and maintains permanent student records and filing system.
- Composes correspondance, memos, and reports as required.
- Supervises and assigns tasks to office TAs.
- Prepare, prints, and mails report cards.
- Files report cards into cumulative file every semester.
- Prepares transcripts, rosters and related reports.
- Maintains, updates, and issues official transcripts.
- Maintains inventory and orders office supplies.
- Responds to record requests from high schools, colleges, employers, alumni and/or state or government organizations.
- Communicates with students, parents, personnel, administrators, and outside agencies to exchange information and resolve issues or concerns.
- Files various test scores in students’ cumulative folders.
- Assists with data entry of student information.
- Prepares required documents for pre-registration and registration of students as well as assist with the processes.
- Records summer school data on transcripts.
- Prepares 45 day screenings and distributes to teachers. Files completed screenings in student’s cumulative file.
- Performs other related duties as assigned.
OCCUPATIONAL CONDITION:
Low risk - Work is routinely performed in indoor environments, including exposure to noise and being on your feet for extended periods of time. May require standing in inclement weather including summer heat.

QUALIFICATIONS:
- Must possess high school diploma or equivalent, supplemented by appropriate business courses.
- Must possess one to three years secretarial experience, preferably in school setting.
- Must possess a thorough knowledge in the use of standard office machines and computers.
- Must have ability to communicate and work well with staff, students, and parents.
- Must possess an ability to deal effectively with matters of confidentiality.

The evaluation is done by the Site Principal with input from the site Head Guidance Counselor.
SUPERVISION RECEIVED:
The Administrative Assistant II-Guidance position reports directly to the Site Principal.
