Position Overview:
We’re hiring a full-time Office Manager to organize and lead day-to-day operations. You’ll oversee customer support staff, manage office workflows, and assist with accounting, all while keeping the TEAM moving in sync. If you’re a self-starter with leadership instincts, strong organizational skills, and QuickBooks experience, you’ll thrive here.
Key Responsibilities:
Office & Team Management
- Oversee daily office operations, systems, and internal coordination
- Manage, support, and lead our customer support staff (including trailer note forwarding and scheduling coordinators)
- Create and optimize internal processes to improve workflow and communication
- Assist with onboarding, timesheets, vacation tracking, and HR coordination
Customer Experience & Support Oversight
- Be the first line of communication for customers via phone, email, and text
- Help resolve escalated service requests and coach team on customer satisfaction best practices
- Track project and appointment schedules, ensuring smooth coordination between sales and production
Accounting & Financial Tasks
- Process payments and deposits using QuickBooks Online
- Track project balances, invoices, expenses, and payroll coordination
- Work with our bookkeeper or accountant for reporting and monthly reconciliation
Qualifications:
- 2 years of experience in office management, operations, or administration
- QuickBooks Online experience is required
- Strong multitasking and problem-solving abilities
- Experience leading teams or managing support staff
- Familiarity with CRM or scheduling platforms (Jobber a plus)
- Excellent verbal and written communication
- Detail-oriented, self-motivated, and highly dependable
Preferred (Not Required):
- Familiarity with customer support ticket systems or dispatch coordination
