Position Overview:

As a Project Manager at Yourway, you will play a pivotal role in representing our organization to our clients and exceeding their expectations. You will serve as the primary point of contact and liaison for clients, ensuring an exceptional customer experience by effectively managing client projects, providing timely updates, and addressing client needs. Your priorities will include efficiently executing project management activities, proactively addressing client questions, exceeding client service expectations, and maintaining strong client relationships. As a project manager, you will be responsible for organizing, communicating and evaluating clinical studies and transferring them into Yourway functions. A Project Manager is a vital link between all functional areas of the Yourway business and must coordinate across departments to track customer orders and shipments, maintain visibility of client inventory levels, and address client questions.

Responsibilities include, but are not limited to:

1. Client Relationship Management

o Act as the main liaison between the client and Yourway, building strong, trust-based relationships.

o Understand client needs and objectives, ensuring their satisfaction throughout the project lifecycle.

o Continuously seek opportunities to improve the client experience and exceed client expectations.

o Solicit and incorporate client feedback to drive improvements in our services.

o Collaborate with the Project Management Team Lead and relevant teams to find solutions and ensure client satisfaction.

2. Project Execution

o Coordinate activities of the project management function to consistently deliver projects within agreed timelines, within the quoted budget, and with the highest levels of customer service.

o Work closely with clients to ensure accurate interpretation of their packaging requirements.

o Interpret Customer requirements in order to execute activities for new and pre-existing projects.

o Process the requests for new shipments in support of new and ongoing projects.

o Complete all returned drug activities in a very timely fashion and within project guidelines.

o Plan and facilitate communication between the Transport Dispatch team and drivers/agents in support of critical global pick-up and delivery activities.

o Identify and address any client concerns or issues promptly and effectively

o Provide leadership in translating study-related requirements.

o Work to identify and resolve any anticipated operational difficulties

o Provide detailed management of completed documentation for new and ongoing projects.

o Ensure that the established responsibilities for each project are being complied with.

o Manage and maintain activity database to ensure that all transactions are recorded, reported and invoiced.

o Create and execute new project requirements.

3. Communication & Reporting:

o Provide regular project updates to clients, keeping them informed about project progress, milestones, and any potential issues.

o Lead project update meetings with clients which include clear communication of agendas, meeting minutes, action items, and open issues

o Support the creation and review of monthly invoices for all client work that has been completed including product shipments, product returns, and packaging operations.

o Prepare and deliver clear and concise project reports to clients and internal stakeholders.

o Create a productive team environment and facilitate communication and teamwork across several related departments including commercial, finance, operations, quality assurance, and transport

· Quality Assurance

o Ensure that all client deliverables meet the highest quality standards and regulatory requirements.

o Monitor and enforce compliance with internal Standard Operating Procedures (SOPs) and industry best practices.

Key Qualifications:

Required

· Bachelor's degree in a relevant field and minimum of 5 years of experience in project management, preferably in the pharmaceutical or life sciences industry

  • Client-focused mindset with a passion for providing an exceptional customer experience
  • Strong project management skills with an emphasis focus on communication, deliverables, quality, and timelines
  • Excellent ability to interface with customers and distribution partners (couriers, brokers, vendors)
  • Knowledge of Clinical Trials with good understanding of CMC and clinical study conduct activities preferred
  • Thorough understanding of GMP and GDP (IP production and distribution)
  • Demonstrates initiative within the boundaries of GMP and SOP’s
  • Proficiency in project management software and tools
  • Strong analysis, assessment, and problem solving skills
  • High attention to detail, well organized, and highly motivated
  • Excellent ability to multitask and prioritize workload
  • Excellent oral and written communications skills
  • Excellent report writing skills
  • Familiarity with MS Office
  • Ability to organize and lead meetings
  • Capable of working on own initiative
  • Capable of processing technical information
  • Able to work to and set high standards
  • Excellent time management and prioritization skills

Recommended

  • PMP certification preferred
  • Logistics related qualifications highly preferred
  • Distribution experience in an order processing environment preferred
  • Experience in performance measurement and management of contractors preferred
