Position Summary
The Residential and Counseling Services Secretary is a key role in the function of the day-to-day operations of YOC’s residential treatment programs. Responsibilities include collecting and distributing important documents and information both internally and externally; assembling and maintaining important documents and reports as well as providing supports and updates in a variety of areas. In addition, the Residential and Counseling Services Secretary helps maintain the environment, culture, and atmosphere of the Residential Services Suite in the Central Services Facility. Anyone performing in this role must have exceptional customer service skills, a high attention to detail, the ability to multi-task, the capability to communicate within multiple levels of the organization, great organizational skills, and developed computer acumen.
Primary Job Expectations
Bachelor’s degree from an accredited university with experience in the social work or health care field preferred.

WORKING CONDITIONS
Typical work week is 40 hours (Monday-Friday, 8am-5pm).Position requires additional hours when necessary to complete special projects or meet specific deadlines.
Compensation
This position is full-time, and compensation includes a competitive hourly wage and benefits plan.

Primary Job Expectations
- Collect and Distribute
- Collects treatment plans and distributes plans to necessary parties.
- Collects random moment surveys and distributes surveys to necessary parties
- Collects FTE’s from CM’s and distributes report to necessary parties.
- Collects supply orders for counselors and immediate supervisors and distributes order to necessary parties.
- Collects digital media file downloads and distributes to client software.
- Collects cottage activity calendars and distributes to audit binder
- Collects clinical outcome data monthly, tracks and uploads to EMR
- Collects MPR, service history monthly and uploads to KidTraks
- Collects and distributes necessary documentation for FPS cases
- Assemble and Maintain
- Assembles and maintains counselor case assignment report daily
- Assembles and maintains staffing/CRT schedule and tracking report.
- Assembles and maintains new cottage manager and counselor manuals.
- Assembles and maintains intake, transition and discharge packets, precautions, program manuals, and journals
- Assembles and maintains staff achievement and years of service certificates and recognition boards.
- Assembles and maintains emergency & crisis procedures binder
- Support and Update
- Schedules support space through portal.
- Creates schedule for weekly rotation for completion of campus rounds
- Tracks clinical services for post adjudication youth in detention center
- Tracks completion of SMART program specific documentation
- Tracks completion of TRU Harbor program specific documentation
- Tracks completion of all CANS assessments and reassessments
- Tracks completion and signatures for all CPA
- Confirms client insurance eligibility via Medicaid portal
- Maintains professionalism, organization, and cleanliness of assigned areas.
