About Us: YTL Training Programs is dedicated to empowering children & youth through innovative programming, educational opportunities, and community-building initiatives. We are seeking a detail-oriented and proactive Administrative Assistant to join our team. This role will report directly to both the Director of Programming and the Director of Finance and Operations.
Position Overview: The Administrative Assistant will play a vital role in supporting day-to-day operations, ensuring smooth communication across departments, and maintaining financial and organizational systems. The ideal candidate will have strong multitasking abilities, experience with financial tools such as QuickBooks and spreadsheets, and excellent organizational skills.
Responsibilities:
- Provide administrative support to the Director of Programming and Director of Finance and Operations.
- Manage and maintain financial records, including QuickBooks, spreadsheets, and check-and-balance systems.
- Assist with financial tasks such as expense tracking, invoices, and budget monitoring.
- Support parent engagement efforts, including communication, scheduling, and preparation of materials for events or meetings.
- Handle email and phone communication professionally and promptly.
- Support with the organization and maintenance of filing systems for financial and operational documentation.
- Support project management tasks, ensuring timelines and deadlines are met.
- Assist with data entry, reporting, and preparing materials for meetings.
- Prioritize and manage multiple tasks effectively, especially under pressure.
- Maintain sufficient inventory levels of programming supplies (snacks, academic & SEL material, office supplies, etc.)
Qualifications:
- Proven experience as an Administrative Assistant or in a similar role.
- Proficiency in QuickBooks, Microsoft Excel/Google Sheets, and other financial tools.
- Strong understanding of financial principles, including check-and-balance systems.
- Excellent verbal and written communication skills.
- Exceptional multitasking, organizational, and time management abilities.
- Ability to work efficiently under pressure and meet deadlines.
- High level of professionalism, discretion, and attention to detail.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
Schedule & Benefits:
- Hours: 8 AM - 4 PM

Pay: $19.28 - $24.00 per hour
