What You'll Do:
As an Event Coordinator, you will play a key role in ensuring exceptional guest experiences by managing the planning, booking, and execution of parties and events. From the initial inquiry to post-event follow-ups, you’ll handle every detail with precision and enthusiasm. In this role, you will work closely with the Sales Manager and team to meet sales goals while building lasting relationships with our community.
Daily Responsibilities:
Event Coordination:
- Respond to inquiries, provide detailed event information, and book parties using HubSpot and Bookly.
- Customize event packages and add-ons to fit the guest's needs, ensuring a seamless planning experience.
- Send invoices, track sales revenue, and manage follow-up communications.
- Coordinate event logistics, ensuring all details are ready for a flawless execution.
Guest Engagement:
- Welcome and interact with guests, embodying Zap Zone XL’s commitment to FUN.
- Understand all aspects of our attractions and event packages to effectively guide guests
- Uphold cleanliness and safety standards throughout the facility.
Sales and Marketing:
- Prospect and cold call potential clients to drive event bookings and build relationships for repeat business..
- Support local store marketing efforts to increase walk-in traffic and event sales.
- Actively attend chamber of commerce and community meetings to strengthen local partnerships and boost engagement with key stakeholders
- Manage and fulfill donation requests efficiently while maintaining a detailed tracking system to ensure transparency, accuracy, and alignment with organizational goals
What We're Looking For:
Experience:
- Prior experience in event coordination, hospitality, retail, or sales.
- Proficiency in software such as Microsoft Office, Excel, HubSpot, and Bookly is a plus.
Skills:
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent communication and relationship-building abilities.
