We are looking for a Dispatch Manager wo work with the Regional Service Director in the scheduling of their labor teams, work order processing, and booking travel for the associated work. This is a key position in ensuring that we complete the assigned work and requires excellent communication inside and outside of our organization. The DM works on the Shared Services Team, working with the company wide scheduling team to ensure the complete utilization of all company assets, share best practices, provide backup and support and assist all regions in meeting their productivity goals. The Shared Services Director leads this team.
What you will do:
The Dispatch Manager works within the Shared Services Team to understand technician capabilities in order to assign them to the workload best suited for their skillset. This role requires a high competency in managing forward thinking schedule and last minute changes. Strong written and verbal communication between internal and external customers is required. Must be able to adapt to an ever changing customer driven landscape.
Key Responsibilities
- Schedule work assignments based on technician ability, available technicians, site locations, and job/customer needs.
- Coordinate and communicate the work with customers via email and phone.
- Reviews the job’s labor and travel budgets and plans technicians accordingly.
- Process regional travel needs including flights, hotels, rental cars, and per diem.
- Manage the regional calendar and work orders to ensure all work orders are processed properly and their status communicated back to the Account Executive or Inside Sales.
- Coordinates with the Project Manager in the ordering and delivery of materials for the scheduled jobs.
- Serves as first point of contact for Service Technicians’ questions and concerns related to schedule and travel.
- Assist in maintaining customer relationships by communicating plans and results to the proper people in a timely manner.
- Works with the DOSO to ensure all reports and data required for the jobs are submitted timely and to the appropriate people.
Qualifications and Skills
- Minimum 3 years in a similar role in scheduling or dispatching.
- Attention to detail and excellent organizational skills.
- Stronger interpersonal and communication skills.
- Prior experience in maintaining customers relations.
- Data entry
- Strong math skills
- Ability to work independently and multi-task
- Prior experience with freight and inventory tracking is helpful
