Zeeva Care, a Collaborative Psychotherapy Group, is seeking a compassionate, experienced, and detail-oriented Practice Manager to oversee and support the day-to-day operations of our mental health practice. The ideal candidate has strong managerial experience, is highly organized, and leads from a trauma-informed lens. This role bridges the gap between clinical, administrative, billing, and HR functions—ensuring smooth workflows, compassionate client care, and operational excellence.
Key Responsibilities
🔹 Leadership & Oversight
Provide day-to-day management of administrative and support staff, helping foster a supportive, trauma-informed, and high-functioning work environment.
Lead with empathy, clarity, and accountability—supporting staff through conflict resolution, clear communication, and collaborative problem-solving.
Support the owner in executing operational goals, improving systems, and ensuring follow-through on high-priority initiatives.
Help create and maintain internal policies, workflows, and SOPs to ensure quality, compliance, and alignment with our values.
🔹 Client Care & Coordination
Oversee the full client care journey, ensuring a high-touch, trauma-informed experience—from intake to discharge.
Act as a point of contact for elevated client concerns and support staff in navigating scheduling conflicts, difficult conversations, or escalations.
Collaborate with clinical leadership to align administrative processes with clinical needs.
🔹 Billing, A/R, & Credentialing Oversight
Supervise medical billing processes, including insurance verification, claims submission, payment posting, and accounts receivable follow-up.
Track and manage accounts receivable, working with billing team and leadership to ensure timely collections and resolution of billing issues.
Oversee credentialing processes for new and existing providers, ensuring timely submission and follow-up with payors.
Identify trends and processes in managing denials or payment delays and work collaboratively with billing team.
🔹 HR & Hiring Support
Collaborate on hiring processes including job postings, candidate screenings, interview coordination, and onboarding workflows.
Ensure staff compliance with documentation requirements, trainings, and internal accountability practices.
Support a positive staff culture through clear communication, team check-ins, and values-based leadership.
🔹 Systems & Reporting
Use Google Sheets, Excel, and practice management software to monitor operational performance and support decision-making.
Generate reports related to client volume, billing metrics, staff productivity, and more, as needed.
Qualifications
3 years of managerial experience in a healthcare or mental health setting required
Strong knowledge of medical/mental health billing, A/R, and credentialing
Proficient in Google Workspace, Excel/Sheets, and comfortable with data and systems
Skilled in people management, conflict resolution, and clear communication
Trauma-informed leadership lens is a must
Bachelor's degree required; Master’s degree or related healthcare/business education is a plus

Schedule: Full-time, flexible hours (hybrid with some in-person in Los Angeles)
Location: Must live in or near Los Angeles
Pay Range: $30–$45/hour depending on experience. Salary options available as well.
