Job Summary
We are seeking a detail-oriented Legal Billing Specialist to join team in Philadelphia. This role is pivotal in managing the end-to-end billing process for legal services, ensuring compliance with client guidelines, and leveraging electronic billing platforms. The ideal candidate will have hands-on experience with legal e-billing systems, strong collaboration skills to work directly with attorneys and clients, and a commitment to accuracy in financial reporting.
Key Responsibilities
Billing Process Management
- Post time entries and prepare files for billing.
- Generate and distribute pre-bills; edit attorney time entries as directed.
- Review pre-bills to ensure adherence to client-specific billing guidelines and formats.
- Process final invoices, including adjustments and approvals.
- Create and maintain billing rates for attorneys and matters.
Electronic Billing Expertise
- Set up new client matters on electronic billing platforms (e.g., LSS, Legal Exchange, Legal X/Allegient, Collaborati, Tymetrix, Serengeti).
- Submit invoices to e-billing sites, including editing text files, adding timekeepers, budgets, and rates.
- Troubleshoot and resolve billing errors; update files to ensure compliance with platform requirements.
Client & Attorney Collaboration
- Work directly with attorneys to clarify time entries and resolve discrepancies.
- Communicate with clients regarding billing inquiries and guidelines.
- Maintain accurate client/matter information in the firm’s financial system.
System & Compliance Maintenance
- Ensure data integrity across billing systems and platforms.
- Stay updated on evolving e-billing technologies and client requirements.
- Support process improvements to enhance billing efficiency.
Qualifications
- Associate’s degree in Finance, Accounting, or related field (or equivalent experience).
- 2 years of legal billing experience, including expertise with e-billing platforms listed above.
- Proficiency in editing text files, managing timekeeper rates, and resolving billing errors.
- Strong attention to detail and ability to meet tight deadlines.
- Excellent communication skills for liaising with attorneys, clients, and internal teams.
- Familiarity with legal accounting software (e.g., Elite 3E, Aderant) and advanced Excel skills.
Preferred Qualifications
- Bachelor’s degree in Finance or related discipline.
- Certification in Legal Billing or Accounting.
- Experience with matter lifecycle management.
