Event Experience Coordinator
Are you a creative, organized, and passionate planner who thrives in a fast-paced environment? This role offers the opportunity to design and execute memorable, large-scale events that bring teams together for high-energy celebrations.
Key Responsibilities
- Plan & Execute Events: Coordinate meetings, trainings, and multi-day gatherings ranging in size from 25 to 3,000 attendees.
- Develop Event Concepts: Manage all elements of event production, including décor, food and beverage, layouts, audio/visual needs, and interactive activations.
- Attendee Management: Oversee invitations, RSVPs, rooming lists, and travel logistics to ensure a seamless guest experience.
- Venue & Vendor Coordination: Research and negotiate contracts with hotels, venues, and external vendors to secure cost-effective services.
- Creative Collaboration: Work with marketing and communications teams on event branding, collateral, signage, and swag distribution.
- Logistics & Budget Tracking: Maintain calendars, track expenses, and manage contracts to meet deadlines and budget goals.
- On-Site Execution: Provide hands-on support during events, coordinating schedules and resolving last-minute changes.
- Post-Event Analysis: Gather feedback, compile reports, and present insights to improve future events.
- Additional Support: Assist with internal programs and community initiatives as needed.
Qualifications
- Education: Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, or related field.
- Experience: 2 years in corporate event planning, with a proven track record of executing large-scale events.
- Skills:
- Strong project management, multitasking, and deadline-driven abilities.
- Excellent communication and interpersonal skills.
- Proficiency in event management software and tools.
- Creative thinking and problem-solving approach.
- Meticulous attention to detail and quality.
- Professionalism: Ability to work both independently and collaboratively while maintaining a high level of customer service.
- Flexibility: Availability to work occasional evenings, weekends, or holidays to accommodate event schedules, plus the ability to travel when needed. Some physical activity may be required for event setup and breakdown.
Salary : $40,000 - $70,000
