Job Summary
This role acts under direct supervision of the Executive Management Team providing administrative and secretarial support for the company. In addition to typing, filing and scheduling, performs duties such as financial record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgement is required to plan, prioritize and organize diversified workload, recommends changes in office practices and procedures.

- Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the team.
- Performs desktop publishing. Creates and develops visual presentations for members of the team.
- Organizes and prioritizes large volumes of information and calls.
- Scans invoices daily and files them into corresponding folders.
- Works with CFO once a week to match invoices with check amounts.
- Sorts and distributes mail. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
- Receives and directs all visitors where appropriate.
- Answers phones for the company and forwards the call to the appropriate department. Takes messages or fields/answers all routine and non-routine questions. Works in cooperation with other members to cover phones when not available.
- Acts as a liaison with other departments and outside agencies, including high-level staff such as CEOs, presidents, senior vice presidents and chiefs. Handles confidential and non-routine information and explains policies when necessary.
- Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.
- Performs other related duties as required and assigned.
Secondary Responsibilities / Duties
- Ability to take necessary steps to ensure a safe work environment for all employees.
- Schedules and reserves conference/meeting rooms and participate in manufacturing meetings as needed.
- Actively role model all company policies and procedures.
- Establish and maintain effective relationships with Operations, Managers, Supervisors and employees.
- Ability to implement and follow through with Standard Operating Procedures for recycling programs.

Qualifications / Other Requirements

Education / Certification
- High school diploma or GED (minimum)

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
