Overview
We are seeking an organized, proactive, and highly skilled Executive Assistant to support our team with a diverse set of responsibilities across various business and personal functions. The ideal candidate will have a strong background in accounting, property management, and executive support, with the ability to manage multiple calendars, organize corporate proposals, and assist with financial tasks, including QuickBooks and expense management. This is a dynamic role that requires excellent attention to detail, a can-do attitude, and the ability to handle a variety of tasks efficiently.

Responsibilities

  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and manage personal tasks, errand, and day-to-day needs.
  • Maintain and enter expenses accurately into QuickBooks.
  • Assist with invoicing, financial reporting, budgeting, and other financial documents.
  • Handle confidential information with discretion.
  • Assist Property Manager with Airbnb listings, including communication with guests, bookings, and pricing adjustments.
  • Assist Property Manager with property maintenance, scheduling cleaners, and coordinating repairs or upgrades.
  • Provide comprehensive clerical support, including proofreading documents and preparing reports.
  • Coordinate projects and assist with project management tasks to ensure timely completion.
  • Maintain organized filing systems for easy access to important documents.
  • Handle correspondence and communication on behalf of executives, ensuring professionalism at all times.
  • Support team members with organizational tasks to improve overall efficiency.
  • Assist in creating documents for new business opportunities or project initiatives.
  • Prepare and organize corporate proposals, presentations, and reports.

Requirements

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Proficiency in computer literacy, including Microsoft Office Suite and other relevant software.
  • Excellent proofreading skills with keen attention to detail.
  • Experience in project coordination is highly desirable.
  • Strong customer service skills with a friendly demeanor.
  • Ability to manage calendars efficiently and handle scheduling conflicts gracefully.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team in a fast-paced environment.

Job Type: Full-time

Pay: $18.00 - $25.00 per hour

Expected hours: 40 per week

  • 8 hour shift
  • Day shift
