Job Summary:
The Admin & Community Relations Specialist facilitates the efficient operation of Zoë Ministries Inc. Delaware by performing general administrative tasks and coordinating various internal and external activities. This position works closely with outside agencies and collaborative providers. The Admin & Community Relations Specialist will oversee all volunteers within Zoe Ministries, Inc. Delaware, providing direction, coordination, and consultation for individuals dedicated to doing God’s work through the advancement of Zoë’s mission. The Admin & Community Relations Specialist will also engage with our local communities by attending related community events, representing Zoe Ministries, Inc. Delaware and making connections with interested individuals and organizations. The ideal candidate will have the ability to interact with diverse individuals.
Essential Functions:
- Must be wholeheartedly aligned with organizational Statement of Faith and Core Values
- Adhere to all professional and organizational policies and requirements
- Adhere to strict confidentiality and nondisclosure agreements
- Answer phone calls, take messages, and respond to voice mails
- Maintain complete and accurate filing system for various documents: volunteer training, facility-related licensing requirements, some invoicing, client files, grant info, etc.
- Ensure that all new volunteers participate in an orientation that includes Zoë Ministries’ purpose, policies and procedures, the volunteer’s role and responsibilities, and the requirements to report allegations of child abuse or neglect
- Ensure that training is completed for every volunteer in accordance with Delaware requirements for Residential Child Care Facilities (3.27-3.30)
- Maintain on file materials documenting the delivery of orientation and training for volunteers
- Maintain on file policies and procedures governing the qualifications and use of volunteers. The qualifications shall be appropriate to the duties they perform
- Secure and maintain on file documentation verifying the physical health of all volunteers in accordance with Delaware requirements for Residential Child Care Facilities (3.153-3.155)
- Draft various written documents to meet specific organizational needs
- Respond to and resolve administrative inquiries and questions
- Coordinate travel, meetings, and appointments as needed
- Prepare agendas and schedules, and distribute materials for meetings
- Maintain organization supplies and coordinate maintenance, service, and other vendors
- Recruit, train, assign, manage, and supervise volunteers
- Maintain an active database of information related to each volunteer of Zoe Ministries, Inc. Delaware
- Engage regularly with volunteers asking about their lives and how we can pray for them
- Attend community events on behalf of the organization to raise awareness and make professional connections
- Perform other related duties in a timely manner as assigned by the E.D. or when requested by other staff members

Required Education/Experience:
- High school diploma required. Associates or Bachelors Degree in related fields preferred.
- Must have a valid driver’s license and auto insurance.
- Drug Testing, Medical Release, and Federal & State Criminal Background checks required before start date.
- Experience in medical billing preferred

Pay: $37,000.00 - $45,000.00 per year
