Position Summary

This member of the ZooTampa Event Productions team plays a crucial role in supporting the planning, coordination, and execution of consumer events.

Your day to day. Essential Functions (Including, but not limited to):

  • Acts as primary contact, project manager, and facilitator of the Zoo’s consumer events as assigned by the Director or Sr. Manager of Event Productions.
  • Prepares comprehensive event timelines and checklists for the Director or Sr Manager of Event Productions, including layout diagrams, event set-up and breakdown, staff assignments, event operations, and post-event analysis.
  • Creates and distributes an accurate and timely Prospectus and BEO for every event, ensuring Zoo-wide information flow.
  • Schedules and participates in regular interdepartmental meetings to discuss event plans to promote Zoo-wide collaboration, communicate client requests, maintain brand image, and ensure successful events.
  • Provides hands-on support during all Zoo events, including set-up and breakdown.
  • Manages a wide range of complex and confidential situations related to Zoo events, resolving conflicts efficiently and discreetly.
  • Prioritizes the safety of employees and guests during events by proactively identifying and mitigating potential risks.
  • Conducts all activities in alignment with AZA standards and guidelines, all relevant laws and regulations, safety standards, and standards that ensure animal welfare.
  • Other duties as assigned.

Qualifications and Experience:

  • Bachelor’s degree in hospitality, communications, marketing, business, or related field required.
  • Minimum 2 years in event planning, project management or related skills.
  • Basic knowledge of Tripleseat computer software and AV equipment preferred.

Skills:

  • Must be deadline oriented.
  • Capable of influencing and leading cross-departmental teams throughout the event planning and production process.
  • Strong problem-solving abilities, with the capability to think critically and independently with minimal supervision.
  • Exceptional interpersonal and communication skills, both verbal and written, and the ability to engage effectively with diverse audiences.
  • Able to multi-task in a fast-paced environment while maintaining a positive and professional demeanor.
  • Exhibits project management skills, including designing, implementing, and tracking events and programs

Physical Requirements:

  • Ability to work in extreme weather conditions typical to west central Florida (i.e., heat, rain, or cold).
  • Ability to use radio, telephone, and computer to communicate and follow written and verbal instructions.
  • Must be willing and able to work varied and long shifts including holidays and weekends.
  • Must be able to work in a variety of physical positions, including sitting, bending, and standing, walking and driving.
  • Must be able to lift over 50 pounds and carry event items such as signs, supplies, linens, etc.
