Job Overview:
As the Receptionist/Administrative Assistant, you will be the first point of contact for clients and visitors. You will play a key role in creating a positive first impression and ensuring the smooth operation of front-office activities.
Key Responsibilities:
- Greet and Welcome Guests: Provide a warm, professional, and courteous greeting to clients, visitors, and staff.
- Answer and Direct Calls: Manage a multi-line phone system, screen calls, and route them to the appropriate team member.
- Schedule Appointments: Coordinate meetings and appointments for clients and attorneys.
- Administrative Support: Assist with clerical duties, including filing, photocopying, scanning, and maintaining office supplies.
- Mail Management: Receive, sort, and distribute incoming mail and packages; prepare outgoing correspondence.
- Maintain Reception Area: Ensure the reception area is clean, organized, and presentable at all times.
- Client Assistance: Handle inquiries professionally, either in person or via phone/email, and provide information as needed.
- Social Media: Update and maintain social media platforms with interesting and interactive content is a bonus.
- Legal Support: Potential to perform legal assistant duties based on experience.
Qualifications:
- Education: High school diploma or equivalent required.
- Experience: Previous receptionist or administrative experience, preferably in a law firm or professional office setting.
- Skills:
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment.
- Excellent organizational and multitasking abilities.
