The opportunity: Executive Business Administrator (32 hours per week)
In this role, you manage complex, high-volume calendars and ensure our executives are fully prepared for each meeting through up-to-date Confluence pages and Slide decks. You will also have to navigate our dynamic processes and manage internal and external stakeholders. Your proactive approach will be essential in prioritizing, organizing, and managing time effectively, all while keeping our patient-centric business focus in mind.
You will become part of the People and Culture team, where you will work closely with the People Operations Specialist and Office Manager and report to the Head of People.
What you will be doing in this role:
Support our CEO (Michel says hi!), CTO (Marshall says hi!), and COO (Vanessa says hi!), Board member(s) and/or other Leaders at myTomorrows.
Own and proactively manage complex, changing, high-volume calendars while ensuring the Executive is prepared for every meeting/project.
Run a cadence of weekly staff meetings and other important meetings, including planning agenda, organization, and follow-up on action items, while infusing our company values throughout.
Make recommendations for the Executives regarding their time management, prioritization, delegation and organization.
Seamlessly coordinate extensive domestic and international travel, including air and ground transportation, hotel reservations, security, visas and other travel documentation.
Plan events such as team off-sites, team building activities and monthly company meetings as needed.
Manage the Executive's email inbox, including drafting internal and external communications on behalf ofthe Executive.
Run and lead special projects upon request.
This is the right opportunity for you if you have/are:
Previous 3 years of administrative experience supporting C-Staff Executives at fast moving company.
Self-starter who can operate independently and move quickly from one task to another; creative problem solver, seeks “win-win” solutions; energized by challenges with superb attention to detail.
Extensive technical skills with Microsoft Workspace and Confluence/Atlassian, among other tools.
Unwavering discretion and the ability to handle confidential information with utmost integrity.
Demonstrated Leadership mindset in prior roles—ability to influence the culture/environment around them.
Experience with event planning & coordination to include support for large meetings, off-sites, and company events.
Experience in a start-up environment preferred.
