We are seeking a dedicated and enthusiastic Office Specialist to join our team and ensure the seamless operation of our office environment while delivering outstanding support to staff, visitors, and external contacts.
Responsibilities
Covering the Office Reception & Main Phone during office hours Monday to Friday
Welcoming visitors in a friendly and polite manner, offering and providing refreshments
Answering and receiving phone calls and dealing efficiently with external and internal inquiries and escalating messages effectively
General Administration: Creating documents, photocopying; preparing, binding, and distributing reports, preparing presentations
Mail management: distributing incoming mail to the respective staff, organizing Local and Global courier shipments
Responsibility for the management of meeting rooms, ensuring proper appearance always
Monitoring costs of the office
Working closely with our local accountant and payment team, tracking invoices, processing for payment, obtaining approvals as required, follow up on payments
Assisting the IT department: Purchase of hardware; Deployment of laptops and tablets; Provision of IT components and goods; Hardware delivery acceptance and processing; Help with local onboardings of new starters; Conference rooms issues (unplugged devices, QBR furniture/equipment movements); Chasing employees to return hardware as part of exit requests
Maintaining the condition of the office/equipment and arranging for necessary repairs
Arranging service with suppliers as needed and managing vendor relationships ensuring the most cost-effective contracts are in place
Initial office orientation for all the new starters, ensuring all new starters have all work equipment and induction support as requested from line manager
Providing a safe and pleasant, user-friendly, organized, and clean office environment
Supporting the account management team by printing and sending invoices to clients
Supporting with Health & Safety and Fire Officer responsibilities (distribute Health & Safety documents to employees)
Requirements
Previous front of house receptionist experience
Excellent written and spoken English and a good telephone manner
Excellent time management and organizational skills
Fully proficient in all Microsoft Office programs (including Word, Excel & Outlook) - competent user of the internet
Ability to prioritize a busy schedule whilst maintaining excellent attention to detail
Excellent communication and interpersonal skills with the ability to liaise with people at all levels
Have entrepreneurial spirit and be forth coming with different ideas
Resilient, resourceful, and punctual
Positive, proactive attitude in identifying issues at the earliest opportunity and in responding to internal and external client queries
Able to share learning or enable process improvement
Discretion when supporting activities and handling sensitive data
