The Office of Academic Services (OAS) plays a key role in advancing the University's educational goals and supporting the provision and governance of academic learning in NTU. We provide the end-to-end academic services from the time of their matriculation to their graduation, creating positive impacts on the academic journey of all 33,000 undergraduate and postgraduate (coursework and research) students during their study in NTU.
This position will drive the transformation in academic services operations and communications by driving technology adoption for process automation and fostering better communication and engagement with stakeholders to enhance work efficiency and stakeholder experience.
This role will act as a key enabler and catalyst to enhance student experience, improve operational efficiency, ensure strong governance, and facilitate stakeholders to make data-driven decisions.
Key Responsibilities:
Automation Projects
Assess existing academic services workflows and processes to identify inefficiencies and automation potential.
Define project scope, objectives, and success metrics.
Develop a roadmap and timeline for automation implementation.
Collaborate with stakeholders to gather requirement and prepare data for automation solutions.
Work with IT in designing, developing, and integrating automation workflows.
Drive user acceptance testing (UAT) to ensure functionality and usability.
Monitor performance, troubleshoot issues, and optimise automation implementations for continuous improvements.
Technology Training and Sharing
Identify skills gaps and training needs to support automation adoption within OAS.
Develop knowledge-sharing platforms to promote awareness and cross-learning among teams.
Communication and Content Management
Optimise website content to ensure accuracy, structure, and relevance for automation tools like chatbots.
Implement effective communication platforms and initiatives to better guide students on academic services.
Engage student communities to better understand their perspectives, conduct focus group discussion, and gather feedback.
Requirements:
Bachelor's degree in Information Technology, Computer Science, Businesses Administration, Communications, or related field.
Proficiency in automation tools (e.g. UiPath, Power Automate, Power Apps, AI chatbots, low-code workflow platforms) and experience with communication (e.g. content structuring and digital communication strategies) will be advantageous.
At least 6 years of relevant working experience in managing automation projects, digital transformation, or process optimization initiatives.
Excellent communication and presentation skills, with the ability to engage stakeholders effectively, negotiate, and influence decisions.
Strong team player with stakeholder-centric mindset and high integrity.
Strong logical thinking, problem-solving abilities, high attention to detail, and exceptional organisational skills to ensure smooth project execution and system implementation.
Ability to manage multiple tasks, work independently, and collaborate effectively within cross-functional teams.
Proactive and takes initiative in identifying potential issues and opportunities and driving continuous improvement.
