Responsibilities
Space Management Optimization
Develop and implement strategies to maximize the use of physical space.
Ensure that we meet the evolving needs of our departments and stakeholders.
Work with policy team to develop evidence-based policies for space allocation, ensuring alignment with faculty expansion and support services.
Implement a change management framework to facilitate smooth transitions in space usage.
Work closely with management to define long-term space planning strategies using data-driven insights.
Space Optimization Through Data Analytics
Analyze space utilization data to identify inefficiencies and recommend optimization strategies.
Develop predictive models to forecast space needs based on faculty expansion, student enrolment, and operational changes.
Implement real-time tracking and reporting dashboards (e.g., Power BI, Tableau) to monitor room occupancy and trends.
Establish data-backed benchmarks for space allocation and efficiency.
Collaborate with stakeholders (e.g. RO, SMU-A, SMU-ExD) to ensure an efficient booking process that aligns with university priorities.
OCIS Data Analytics & Reporting
Support OCIS in analyzing space-related data to improve operational policies.
Ensure data integrity and establish standardized reporting processes.
Integrate space management data with broader university analytics to inform decision-making.
Administrative Support
Assist the team with administrative tasks such as preparing reports and managing data documentation.
Coordinate meetings and maintain records.
Ensure smooth operations within the team and department.
Other duties as assigned.
Qualifications
Degree holder (ideally real estate).
Professional skills in data analytics, change management.
Prior experiences in workspace management (across different sites) and experiences in conducting office space renovations, space optimization.
Experience: 35 years in space planning or data analytics.
Technical Skills:
Proficiency in data analytics & visualization tools (Power BI, Tableau, SQL).
Experience with space management software (Planon, AutoCAD).
Understanding of AI-driven scheduling and IoT-based tracking for real-time space monitoring.
Soft Skills:
Strong analytical and problem-solving abilities.
Excellent stakeholder management and communication skills.
Ability to implement change management strategies effectively.
Space Planning and Utilization: Understanding of space planning principles and techniques to optimize the use of physical spaces.
Facilities Management: Knowledge of facilities management practices, including maintenance, safety, and regulatory compliance.
Project Management: Familiarity with project management methodologies and tools to oversee space planning projects.
Architectural and Engineering Principles: Basic understanding of architectural and engineering concepts related to space design and construction.
Data Analytics: Strong knowledge and practical experience in data analytics tools like Power BI.
Real Estate/Workspace Business: Good understanding of the real estate and workspace business.
Stakeholder Management: Ability to take on the challenges of managing stakeholders.
Creative Thinking: Creative thinking to identify opportunities for optimizing space.
Resourcefulness: Ability to work under pressure, multitask, and prioritize work.
Technical Proficiency: Proficient in the MS Office suite, Autocad, Planon, and other visualization tools
Writing and Strategy Presentations: Strong capabilities in policy writing and effective presentation.
Other Information
Candidates who do not possess the stipulated qualifications but have relevant work experience may still apply. Remuneration and appointment terms shall commensurate with qualifications and experience. SMU reserves the right to modify the appointment terms where necessary.
