26 Health,Inc is Hiring an Executive Assistant Near Orlando, FL

Job purpose

The 26Health Office of the Chief Strategy Officer is seeking a professional executive assistant (EA) who possesses high-quality communication, logistics, and documentation management skills to join the executive office team. The EA must provide excellent customer service to internal and external clients and stellar administrative support to the chief strategy officer (CSO). The EA will be the first point-of-contact (POC) for visitors, callers, donors, and potential stakeholders respective to development and fundraising for 26H.

The executive assistant to the CSO needs to be a highly organized and experienced professional with a keen eye for detail and discretion. This person must possess have strong interpersonal skills and be able to work collaboratively in a fast-paced environment.

Duties and Responsibilities

  • Mange the calendar of the CSO, including arranging meetings and coordinating appointments
  • Serve as the primary POC for the CSO, prioritizing and addressing communications
  • Oversee the daily functions of the Office of the CSO, which including coordination of the direct reports of the CSO
  • Establish and maintain filing systems, record-keeping, and reference materials
  • Assist with purchasing, procurement, and personnel tasks
  • Assist with monitoring the budget of the Office of the CSO and department budgets that report with the CSO
  • Ensure compliance with local, state, and federal laws and company policies and procedures for the Office of the CSO and department budgets that report with the CSO
  • Assist with coordination of special events, conferences, and travel plans
  • Serve as a liaison for 26H stakeholders (e.g., executives, staff, and external contacts)
  • Assist with preparation for board of directors meetings and facilitation of board requests
  • Prepare agendas, sends notices, and attends meetings and work sessions for the purpose of recording and providing information as well as recording minutes and supporting the needs of other attendees
  • Maintain confidentiality of information processed through the Office of the CSO and handle confidential documents and materials with discretion.
  • Answer and direct incoming calls to the appropriate personnel
  • Maintain a tidy and organized office
  • Coordinate travel arrangements and accommodations as needed
  • Handle incoming and outgoing electronic mail, traditional mail, and packages
  • Assist with basic office tasks such as filing, photocopying, and data entry
  • Assist with resolving issues with a one-call resolution standard
  • Assist with research and data gathering as needed to support the CSO’s projects and initiatives
  • Other duties as assigned

Qualifications/Knowledge/Skills/Experience

  • A minimum of an associate in arts degree or 60 postsecondary credit hours preferred; a high school diploma or equivalent required
  • Previous experience in an administrative support role preferred
  • Excellent communication and interpersonal skills
  • Strong organizational abilities and attention to detail
  • Proficiency in core Microsoft Office Suite applications: Word, Excel, Outlook, and PowerPoint
  • Ability to multitask and prioritize tasks effectively
  • Professional demeanor and appearance

Working conditions

  • Prolonged periods standing, walking, and or sitting at a desk and working on a computer may be required
  • Availability with advanced notice to attend or participate in evening and weekend events

Physical requirements

  • May require the occasional ability to lift up-to 25 pounds

Direct reports

  • This position does not supervise subordinates.
